How to Set Up Multiple Treatment Programs for Facilities with Different Levels of Care (CRM)

When a treatment facility offers multiple levels of care (like both Inpatient and Outpatient services), you need separate treatment program options in Dazos to ensure patients are routed to the correct program type in your EMR system.

Before You Begin

  • Verify that your facility provides multiple levels of care (e.g., Inpatient, Outpatient, IOP)

  • Confirm you have admin access to contact Dazos Support

  • Identify the specific program types that need separate routing

Steps

1. Identify the Issue

If you notice that screenings for different levels of care are being incorrectly routed (e.g., Outpatient screenings pushing through as Inpatient), this indicates you need additional treatment program options.

2. Contact Dazos Support

Reach out to Dazos Support and request additional treatment program options for your facility. Provide the following information:

  • Your facility name

  • Current treatment program name in the system

  • The different levels of care you offer (e.g., Inpatient, Outpatient, IOP)

  • Suggested names for the new program options

3. Wait for Program Creation

Dazos Support will create the additional treatment program options in your system. For example:

  • "DRC" (for inpatient intake and evaluation)

  • "DRC IOP/OP Intake and Eval" (for outpatient intake and evaluation)

4. Select Appropriate Program During Patient Intake

Once the new options are available, your intake team should:

  • Select the appropriate treatment program based on the level of care needed

  • Use the inpatient option for patients requiring inpatient services

  • Use the outpatient/IOP option for patients requiring outpatient services

Verification / Expected Result

After the additional treatment programs are created:

  • You will see multiple program options for your facility in the treatment program dropdown

  • Patients will be correctly routed to the appropriate level of care in your EMR

  • Outpatient screenings will no longer incorrectly push through as Inpatient

  • Each level of care will have its own dedicated program pathway

Troubleshooting / Common Errors

Programs not appearing after creation:

  • Refresh your browser and log back into Dazos

  • Clear browser cache if needed

  • Contact support if programs still don't appear after 24 hours

Still seeing incorrect routing:

  • Verify staff are selecting the correct program option during intake

  • Double-check that the EMR mapping is configured properly for the new programs

  • Confirm with support that the new programs are properly linked to your EMR
