How to Reset a User Password (CRM)

Updated over 3 months ago

This guide provides administrators with the necessary steps to help team members regain access to the CRM. Whether a user has forgotten their credentials or requires a security update, administrators can facilitate a password reset directly through the user management settings.

Before You Begin

  • Administrator Access: You must have administrative privileges to access the "Manage Users" section.

  • Security Note: Only reset passwords for verified team members to maintain account security.

Instructions

  1. Navigate to User Management: Log in to the CRM and go to Settings > CRM Settings > Manage Users. This will display a list of all active and inactive users within your instance.

  2. Locate the Team Member: Find the specific user who needs the reset. Click on the Information Icon (usually an "i" or a small blue icon) located next to their name.

  3. Choose the Reset Method: Within the user details view, you will have two options to proceed:

    • Send Reset Link: Click this to trigger an automated email to the user’s registered email address. They will follow the instructions in the email to set their own new password.

    • Change Password: Select this option to manually set a temporary password for the user. You will need to provide this temporary password to them directly so they can log in.

Verification / Expected Result

  • For Reset Links: The user should receive an email within a few minutes. Once they follow the link and save the new password, they will be able to log in.

  • For Manual Changes: The system will confirm the password update. The user should be able to log in immediately using the manual credentials you provided.

Troubleshooting / Common Errors

  • Email Not Received: If the user does not receive the reset link, ask them to check their Spam or Junk folders. Verify that their email address is spelled correctly in the "Manage Users" section.

  • Manual Password Failure: Ensure there are no accidental spaces at the beginning or end of the manual password when providing it to the user.

  • Option Missing: If you do not see the "Manage Users" option under CRM settings, your user profile may not have the required "Admin" role permissions.
