How to Integrate Collaborate MD (CMD) with Dazos CRM

This article provides the end-to-end process for integrating Collaborate MD (CMD) with Dazos CRM. This integration is vital for syncing billing data, facility management, and reporting accuracy across your instance.

Before You Begin

Make sure you have the following:
• Scope of work including: Facilities, Treatment Programs, and State(s)
• Access to the Dazos CRM instance you’ll be configuring
• Access to the [email protected] inbox (for Collaborate MD welcome email)
• Access to Dazos IQ Logins for Billing Software spreadsheet -> here
• Access to dazos-data-entry Slack channel
• Call Tracking Metrics account credentials

Steps

After we have that information, we can proceed with the necessary steps. Enter the CRM you will be helping with the CMD integration, and click on the "Switch to IQ" option

After entering the IQ section, head over to the Administration Module and click on "Facilities".

After you enter the Facilities section, click on the button that says + New Facility and fill out the following specific fields that need to be specified: Name, Treatment Program, Type, Collab ID, State.

The number of times you have to do this will depend on the Instance you are working with, please be mindful that every time we have to make sure we are adding the correct amount of locations. One instance might have one, but the next one will have multiple.

If the instance has just started using Collaborate MD, make sure you check your email Inbox, look for a Welcome to Collaborate MD email. It should always be sent to [email protected] since this is the email registered for the account. Be aware that this welcome email is very important and it is crucial we click on the creation link before the link expires.

Make sure you enter the correct username provided on the email and create a password for the instance Log in. After that, you will be able to access.

Click on Log in since we will be setting up a Call Pin number that will be useful once we contact Collaborate MD to add some columns. Once you enter, click on the user and then on User Profile

On the User Profile tab, we will be able to set a Call Pin number, be sure to click on it and add it, remember the Call Pin number must be a 4-digit number of your choosing.

After we have created the account, head over to the Dazos IQ Logins for Billing software spreadsheet.

Once you are on the spreadsheet, please make sure to fill out the following details: Customer, IQ Link, Billing Platform (CMD), Username, Password, Office Key (Collab ID), URL, Call Pin.

Once that part is completed, we have to head over to the dazos-data-entry Slack channel, in order to let our DEV team or Aarti help us create the Reports for the instance we are working with and let us know when they are done. When we get a response back from they you would likely receive a response that states we now need to contact Collaborate MD in order to add Charge Modify Date as a filter and column in claim export file.

For this, the company Call tracking metrics account where you will login with your Unique login, please be sure to have these details with you since support will be requesting them: Username, Collab ID, Call Pin number, and Email.

Once the call is completed and Charge Modify Date is now added as a column and as a filter, you are able to proceed with the final part of the process. Head over again to dazos-data-entry Slack channel to let support know that column and filter have been added and now we only would need to import the reports in the All Time section.

Once the specialized team confirms this information has been added we would be able to confirm the resolution to the instance we have been working with.


Verification / Expected Result


• CMD integration is active.
• Facilities and login details are correctly recorded.
• Charge Modify Date filter and column appear in export reports.
• Reports are confirmed and available in the All Time section.

Troubleshooting / Common Errors


• No welcome email received: Check spam/junk folders and confirm the correct inbox ([email protected]).
• Expired activation link: Request CMD resend the welcome email.
• Missing Charge Modify Date: Confirm with CMD support that the request was completed.
• Incorrect facility setup: Double-check Collab ID and state assignments before saving.
