How to Securely Remove a User (CRM)

Overview


When a team member leaves your organization, it is critical to offboard them securely without losing track of their active leads or historical data. Dazos CRM prevents "orphaned" data by requiring that all records assigned to the departing user are transferred to a new owner before the account is closed. This ensures a seamless transition and maintains total data integrity.

​Symptom / Error

  • You receive a prompt or pop-up stating that records must be reassigned before the user can be deleted.

  • The "Delete" action is blocked or greyed out until a secondary owner is selected.

Cause

Dazos CRM is designed to protect your data. Leads, accounts, and opportunities must always have an active owner to ensure follow-ups are not missed. To prevent data loss, the system forces a reassignment of the departing user's entire portfolio to an active team member during the deletion process.

Steps

1. Navigate to your instance URL: Open your browser and log in to your specific Dazos CRM dashboard.

2. Access Settings: Locate the gear icon or the Settings label in the main navigation panel.

3. User Management: Within the settings menu, click on User Management to view your list of active and inactive users.

4. Find the User: Scroll through the list or use the search bar to locate the specific user you need to remove.

5. Click "More": Select the More dropdown menu associated with that user’s record.

6. Delete User: Select the Delete option or the trash icon from the menu.

7. Click "Yes": Confirm the initial system prompt asking if you are sure you want to proceed with the deletion.

8. Reassign Records: A mandatory pop-up window will appear. This is where you manage the transfer of the user's data; you must complete this to move forward.

9. Select New Owner: Use the dropdown menu in the pop-up to choose the active user who will inherit the departing user's leads, accounts, and opportunities.

10. Click "Delete User Permanently": Select the final deletion button once the new owner has been assigned.

11. Confirm Changes: Click Confirm or Save to finalize the process. The old user is now removed, and their data is safely transferred to the new owner's portfolio.


​Verification / Expected Result

The deleted user will no longer appear in the "Active Users" list. You can verify the success of the data transfer by checking the Leads or Accounts modules; all records previously owned by the deleted user should now display the name of the new owner you selected in Step 9.

Escalation
