Prerequisites
Before you begin, make sure you have:
Admin access to Dazos CRM
Two or more users set up with separate Treatment Programs that require data isolation
An active call manager integration (e.g., CTM) with the ability to create custom fields or identifiers
Access to create and manage List Views in Dazos CRM
Overview
When two users in the same CRM instance belong to separate Treatment Programs, you can restrict their access to each other's data using Treatment Program-based permissions. However, Leads require an additional step — because Lead records are not automatically scoped by Treatment Program alone, a unique identifier from your call manager must be used to create restricted Lead list views.
This two-part approach ensures full data separation between users: Treatment Program restrictions handle general record access, while a call manager identifier handles Lead-level visibility.
Steps
Step 1: Configure Treatment Program-based access restrictions.
Ensure each user is assigned only to their respective Treatment Program in CRM user settings. This restricts access to records (such as Intake Opportunities and Accounts) associated with the other user's Treatment Program. If you need help configuring this, contact Dazos Support.
Step 2: Create a unique identifier in your call manager.
To restrict Lead visibility specifically, have each Treatment Program's inbound calls routed through a unique identifier in your call manager (e.g., a dedicated tracking number or custom field in CTM). This identifier will serve as the distinguishing attribute that separates one group's Leads from the other's in Dazos.
💡 For example, the Luna account uses this approach — each Treatment Program's call traffic is associated with a distinct call manager identifier, making it possible to filter Leads by that identifier in the CRM.
Step 3: Create restricted Lead list views based on the identifier.
Once the unique identifier is being passed through to Lead records in Dazos, create separate List Views in the Leads module — one for each Treatment Program — filtered by that identifier. Assign each list view to the appropriate user or team so they only see Leads associated with their own call traffic.
Step 4: Validate the setup.
Have each user log in and confirm they can only see Leads associated with their own Treatment Program's identifier. Verify that Leads from the other Treatment Program do not appear in their filtered list view.
Result
After completing these steps, users associated with separate Treatment Programs will be unable to see each other's data, including Lead records. Treatment Program restrictions handle broader record-level access, and the call manager identifier-based list views ensure Lead visibility is also properly isolated between the two groups.
