How to Selectively Create Leads from CTM Inbound Calls, Instead of Every Call (CRM)

Overview

By default, the CTM integration can create a lead record for every inbound call. If your organization receives a high volume of non-admissions calls — such as spam, marketing, or general inquiries — you can use a combination of a VOIP setting and CTM triggers to create leads only for qualified calls.

This guide covers both steps: disabling automatic lead creation on inbound calls, and configuring CTM to create leads selectively using a trigger-based workflow.

Before You Begin

  • You must have administrator access to both Dazos CRM and your CTM account.

  • Your CTM integration must already be configured and active.

  • Decide on the qualifying criteria for lead creation (e.g., calls that meet a certain score, star rating, tag, or other condition in CTM).

Steps

Step 1: Disable Automatic Lead Creation on Inbound Calls

The first step is to turn off the default behavior that creates a lead record for every inbound call.

  1. In the CRM, click Settings (gear icon) in the top header.

  2. Navigate to Integrations.

  3. Click VOIP Settings.

  4. Locate the setting that controls lead creation on inbound calls and disable it.

  5. Save your changes.

⚠️ Important: Disabling this setting means no leads will be created automatically from inbound calls. You must complete Step 2 to ensure qualified calls still generate leads.

Step 2: Configure a CTM Trigger to Create Leads Selectively

CTM supports trigger-based lead creation, allowing you to send a webhook to Dazos only when a call meets your qualifying criteria. This replaces the automatic lead creation you disabled in Step 1.

  1. Log in to your CTM account and navigate to the Triggers or Automation section.

  2. Create a new trigger by clicking the appropriate Add or Create button.

  3. Configure the trigger event — for example, set it to fire when the activity ends and all data is ready, or when a call is scored or rated.

  4. Add a condition that defines what makes a call qualified (e.g., a minimum star rating, a specific tag, or another CTM field value).

  5. Set the trigger action to Send webhook to create a lead, pointing to your Dazos CRM endpoint.

  6. Save and activate the trigger.

Step 3 (Optional): Use CRM List Views to Manage Call Log Records

Even when leads are not created for every call, inbound call activity is still logged in the CRM. You can create custom list views in Dazos to surface specific call log records based on criteria — for example, filtering by call direction, status, or other fields — to help your team review and act on calls that may need follow-up.

💡 Tip: Custom list views are a useful complement to trigger-based lead creation. They allow staff to review call logs without being overwhelmed by unqualified records.

Verification / Expected Result

  • Inbound calls that do not meet your CTM trigger conditions will not create a lead record in Dazos — only a call log activity entry.

  • Inbound calls that do meet your trigger conditions will send a webhook to Dazos and create a lead as expected.

  • Your team will no longer need to manually disposition a high volume of unqualified leads.

Troubleshooting / Common Errors

No leads being created at all: Verify that your CTM trigger is active and that the webhook URL points to your Dazos CRM endpoint. Check CTM's webhook delivery logs for errors.

All calls are still creating leads: Confirm the inbound lead creation setting in VOIP Settings is disabled and that the change was saved.

Qualified calls not triggering the webhook: Review the trigger conditions in CTM to ensure they match the criteria of the calls you expect to qualify.
