How Do I Successfully Send My VOBs to the Billing CRM? (Billing CRM)

If your VOBs are coming back as Incomplete, you’re not seeing results in the Biller’s CRM, this can help ensure the VOB is created and successfully sent. IMPORTANT NOTE: This applies only if you have integrated your CRM instance with the Dazos Billing CRM

Q: When should I use this process?

You should follow this process when:

  • VOBs are repeatedly showing as Incomplete

  • No eligibility information appears after several days

  • The Biller confirms they are not seeing the VOB in their CRM

  • You need to re-trigger the VOB flow cleanly

  • This applies only if you have integrated your CRM instance with the Dazos Billing CRM


Q: How do I create a VOB so it appears in the Biller’s CRM?

A:
Follow these steps carefully:

  1. Create a New VOB Record

    • Enter the First Name and Last Name

    • Click New

    • Enter the Date of Birth

  2. Complete Required Intake Details

    • Select the Program (training/program type)

    • Enter the Admission Date

    • Enter the Member ID

    • Select the Insurance Company

  3. Save and Verify

    • Click Save

    • Click Verify to complete the initial VOB step

  4. Create the Full VOB

    • Once verification completes, click the three dots (⋮) on the VOB record

    • Select Create Full VOB

    • Click OK to confirm




  5. Submission Complete

    • The Full VOB is now created and sent

    • This is the step that allows the VOB to properly appear in the Biller’s CRM


Q: Why does this fix incomplete VOBs?

A:
Sometimes VOBs get stuck in an incomplete state due to timing issues, partial submissions, or earlier data inconsistencies. Creating a new VOB and then explicitly generating a Full VOB re-initiates the process and allows the Biller’s system to properly receive and process it.


Q: How do I know it worked?

A:

  • The VOB should no longer remain stuck as Incomplete

  • Eligibility details should begin to populate

  • The Biller should now see the VOB in their CRM

If the Biller still doesn’t see it after completing these steps, Support may need to review the submission.

  • Always double-check DOB, Insurance, and Member ID before saving

  • Make sure you complete the Create Full VOB step, this is critical

  • If issues persist after following this process, contact Dazos Support and reference that you’ve already recreated and submitted a Full VOB
