How to Configure VOB Insurance Policy Mapping in CRM Settings (CRM)

VOB Insurance Policy mapping enables automatic data flow between VOB results and Insurance Policy records in both directions. This configuration ensures that Instant VOB data can populate Full VOBs and that VOB results update Account Insurance Policies.

Before You Begin

  • You must have admin permissions to access CRM Settings

  • Ensure you understand the difference between the two mapping directions

  • Verify that your Insurance Policy fields are using standard system fields (not custom fields)

Steps

Access VOB Insurance Policy Mapping Settings

  1. Navigate to Settings → CRM Settings → Data Mapping → VOB Insurance Policy Mapping

Configure VOB/Instant VOB → Insurance Policy Mapping

  1. In the "VOB/Instant VOB → Insurance Policy" section, set up field mappings to automatically update the Account's Insurance Policy with data from VOB results

  2. Map the VOB/Instant VOB fields to the corresponding Insurance Policy fields you want to keep current

  3. This mapping ensures that when a VOB or Instant VOB is run, the Insurance Policy is automatically updated with the latest information (not just Payer and Member ID)

Configure Insurance Policy → Full VOB Mapping

  1. In the "Insurance Policy → Full VOB" section, map Insurance Policy fields to Full VOB fields

  2. Select the Insurance Policy fields you want to carry over into the Full VOB fields

  3. This mapping pre-populates Full VOB records with data from the Account's saved Insurance Policy when the Full VOB is created

Save Your Configuration

  1. Save your mapping settings to activate the automatic data flow

Verification / Expected Result

After configuring both mapping directions:

  • VOB to Insurance Policy: Running an Instant VOB or VOB will automatically update the Account's Insurance Policy fields with the latest data from the VOB results

  • Insurance Policy to Full VOB: Creating a new Full VOB will pre-populate fields with existing data from the Account's saved Insurance Policy

Troubleshooting / Common Errors

Mapping not working: Verify that your Insurance Policy fields use standard system fields rather than custom text fields. Custom fields will break the mapping functionality.

Partial data transfer: Ensure all required field mappings are configured in the appropriate section (VOB → Insurance Policy vs. Insurance Policy → VOB).
