An administrator sets up the mappings once (which VOB field copies to which destination field), and from then on the values are copied every time a VOB is created or updated. Instant VOB and Full VOB are mapped separately, and each mapping can be turned on or off at any time.
1. Before You Start
- Who can do this: administrators set up and manage the mappings. Once set, the copying happens automatically for everyone - no button to press.
- The mappings are per instance. Setting them up on one instance does not affect any other. - Nothing changes until you add at least one mapping. With no mappings configured, VOB, Intake Opportunity and Account records behave exactly as before.
Important: Insurance and demographic details are sensitive information. The copy respects each user's field permissions: if a user is not allowed to edit a destination field, that field is skipped for them. Every automatic copy is recorded in the record's history.
2. Open the Mapping Screen
1. From the CRM, go to Settings.
2. Under Data Mapping, open VOB Insurance Policy Mapping.
3. Scroll down to the section titled "VOB to Intake Opportunity / Account" (it sits below the existing insurance-policy mapping).
The "VOB to Intake Opportunity / Account" mapping section, with rows grouped by VOB Type.
3. Add a Mapping
1. Click Add New. A popup opens.
2. VOB Type: choose Instant VOB or Full VOB - this decides which kind of VOB the mapping applies to.

3. VOB Field: choose the field to copy the value FROM. Every field list is grouped by the screen section the field belongs to, so fields are easy to find; iVerify response fields sit under their own group.
4. Intake Opportunity Field and/or Account Field: choose where to copy the value TO. You can fill one or both; leave a destination as "Not mapped" to skip it.
5. Overwrite existing value: leave OFF to only fill a destination that is currently empty; turn ON to replace a value that is already there. (An empty VOB value never erases what is already on the destination.)
6. Click Save. The new row appears in the table under its VOB Type.
The Add popup. "Overwrite existing value" is OFF by default for a new mapping.

Tip: Build a chain by mapping the same VOB field to both an Intake Opportunity field and an Account field. If the VOB value is empty at copy time, the Account will receive the Intake Opportunity's current value instead - so the Account still gets filled.
4. Manage Your Mappings
- Active toggle: switch a mapping off to pause it without deleting it. An inactive mapping is ignored until you switch it back on.
- Edit (pencil): reopen the popup to change any part of the mapping.
- Delete (x): remove the mapping.
- All three sit together in the Action column, and every change takes effect immediately - the screen updates without reloading.

5. What Happens Automatically
- Whenever a VOB is created or updated - whether by a person, an eligibility verification, or a sync - the active mappings for that VOB's section copy the values onto the linked Intake Opportunity and/or Account.
- Only the fields you mapped are touched. Everything else on the destination is left exactly as it was. - Instant VOB mappings apply only to Instant VOBs, and Full VOB mappings only to Full VOBs.
6. See Where a Change Came From
1. Open the Intake Opportunity or Account that was updated.
2. Open its Updates tab.
3. Each automatic copy is labelled with a blue "Workflow: VOB Record Mapping" badge next to "updated", and shows the old and new value - so you can always tell an automatic copy apart from a manual edit.

7. Frequently Asked Questions
Q: I added a mapping but the destination field did not change. Why?
Check three things: the mapping is Active; its VOB Type matches the VOB you saved (Instant vs Full); and, if the destination already had a value, whether Overwrite is ON. Also make sure the VOB is linked to an Intake Opportunity (and the Intake to an Account) so there is somewhere to copy to.
Q: Will an empty VOB field wipe out the value on the Intake Opportunity or Account? No. An empty VOB value never clears a destination. With a chain mapping, an empty VOB value instead lets the Account pick up the Intake Opportunity's current value.

Q: Can I stop a mapping without losing it?
Yes - switch its Active toggle off. It is ignored until you switch it back on.
Q: Does this change anything for instances that have no mappings set up? No. With no mappings configured, everything behaves exactly as before.
Q: Who is allowed to see or set these up?
Administrators set up and manage the mappings from Settings. The copying then happens automatically, and always respects each user's field permissions.
