How to Use Comments on VOB Records (CRM)

VOB (Verification of Benefits) records now include a Comments tool, giving you the same note-taking and collaboration features you already use on Accounts, Intake Opportunities, and Leads.

Overview

VOB (Verification of Benefits) records now include a Comments tool, giving you the same note-taking and collaboration features you already use on Accounts, Intake Opportunities, and Leads. You can post notes, tag teammates, attach files, and use the Roll Up option to view related comments from the linked Intake Opportunity and patient Account — all in one place. This is available in both the standard and Billing CRMs.

Before You Start

No new permissions or settings are required. Comments on VOB records follow your existing record access — you will only see comments on records you already have permission to view.

If you open a VOB record and do not see a Comments icon, the one-time activation may not have completed for your account. Contact Dazos Support to enable it.

Finding Comments on a VOB Record

  1. Open any VOB record.

  2. Look for the Comments icon in the row of quick-access icons near the top of the record. A number next to the icon indicates how many comments there are on that record.

  3. Click the Comments icon to open the full Comments section.

A Comments panel also appears in the right-hand detail panel of the record, so you can read and add comments without scrolling away from the page. This panel is available on both the standard VOB screen and the instant (pVerify) VOB screen.

Posting, Tagging, and Attaching Files

The Comments tool on VOB records works exactly like it does everywhere else in Dazos:

  • Post a comment: Type in the Post your comment here box and click Post. Your comment appears immediately with your name and a timestamp.

  • Reply or edit: Use the Reply or Edit links under any existing comment.

  • Mention a teammate: Type @ followed by their name and select them from the list. They will receive the same notification they would on any other record.

  • Attach a file: Click Attach Files to upload a file up to 100 MB.

Using Roll Up to See Related Comments

Each Comments section includes a Roll Up switch. This controls whether you see only the comments on the current record, or also comments from related records in the chain:

Account (patient) ↔ Intake Opportunity ↔ VOB

  • Roll Up OFF: You see only the comments posted directly on the record you are viewing.

  • Roll Up ON: You see comments from the current record plus its related records.

Here is what is included when Roll Up is turned on:

  • Viewing a VOB: Shows comments from the VOB, its linked Intake Opportunity, and the patient Account.

  • Viewing an Intake Opportunity: Shows comments from the Opportunity, the patient Account, and any linked VOBs.

  • Viewing a patient Account: Shows comments from the Account, its Intake Opportunities, and those Opportunities' VOBs.

A few important things to know about Roll Up:

  • Your Roll Up preference is saved automatically. If you turn it on, it will remain on when you return to that record later.

  • Roll Up will never surface comments from records you do not have permission to view.

  • A VOB created directly from a Lead that is not linked to an Intake Opportunity will only show its own comments — there is no related chain to roll up.

  • The Referral Source record is not part of the comment chain.

Frequently Asked Questions

Do I need to turn Roll Up on every time I visit a VOB?
No. Your Roll Up setting is saved per user and remembered across page refreshes and future visits.

Why am I not seeing comments from related records even with Roll Up on?
The VOB may not be linked to an Intake Opportunity — for example, if it was created as an instant VOB from a Lead. In that case, there are no related records to pull comments from.

Will other people see my comments?
Anyone with permission to view the record can see comments posted on it. When Roll Up is on, users can also see comments from related records they have access to.

Does adding Comments to VOBs affect comments on other records?
No. Comments and Roll Up on Accounts, Intake Opportunities, Leads, and other records continue to work exactly as before.

Need Help?

If Comments are not appearing on your VOB records or you run into any issues, try the following steps:

  1. Confirm that the Roll Up switch is in the expected state, then refresh the page.

  2. Check that the VOB is linked to an Intake Opportunity and patient Account if you expect rolled-up comments to appear.

  3. Contact Dazos Support and reference ticket CRM-3183 if the Comments icon is not visible on your VOB records at all.
