How to Fix Workflows Sending Excessive Emails and Texts

This guide helps to resolve workflows that send excessive email, texts, or create duplicate tasks due to incorrect trigger settings. When workflows are configured to trigger repeatedly, they can overwhelm clients and staff with hundreds of communications.

Before You Begin

You'll need admin access to your Dazos workflows to modify trigger settings. Make sure you can identify which specific workflow is causing the excessive communications.

Steps to Fix Excessive Workflow Triggers

  1. Navigate to your Workflows section in Dazos and locate the problematic workflow.

    • Here, you can click on either of the two options shown in the image—either the shortcut in the middle of the image or the link shown on the left side.

    • Find the workflow you need by doing a quick search in one of the filter boxes shown in the image


  2. Open the workflow settings and look for the trigger configuration options.

  3. Check the current trigger setting. If it's set to "Every time conditions are met," this is likely causing your issue.

  4. Change the trigger setting from "Every time conditions are met" to "Only first time conditions are met."

  5. Save your changes and monitor the workflow behavior over the next 24-48 hours.

Why This Fix Works

When workflows are set to "Every time conditions are met," they continuously re-trigger whenever records meet the specified criteria. This means that any record matching your workflow conditions will repeatedly activate the workflow, causing:

  • Multiple emails sent to the same recipients

  • Duplicate text messages to clients

  • Excessive task creation for staff members

By setting "Only first time conditions are met," the workflow will run exactly once per record when conditions are initially satisfied, preventing duplicates.

Expected Result

After making this change, you should see:

  • A significant reduction in workflow-generated emails

  • No duplicate text messages to clients

  • Only one task created per record that meets the criteria

  • Normal workflow behavior without excessive communications

Troubleshooting

If you continue to see excessive communications after making this change:

  • Verify that all related workflows have been updated with the correct trigger setting

  • Check if there are multiple workflows affecting the same records

  • Contact Dazos Support if the issue persists after 24-48 hours
