Troubleshooting Recurring Charges Saving as One-Time Charges (CRM)

This guide helps you resolve issues where recurring charges are incorrectly saved as one-time charges in the CRM billing module.

Symptom/Error

When creating a new charge and selecting the "Recurring" option, the system saves it as a one-time charge instead. Additionally, existing one-time charges cannot be edited to become recurring charges.

Cause

This was a system bug affecting the transaction save logic in the CRM billing module that has now been resolved.

Solution

For New Charges (After Fix):

  1. Navigate to the patient record where you need to add a charge

  2. Click "Add a New Charge"

  3. Select the "Recurring" option when creating the charge

  4. Complete all required charge details

  5. Save the charge

  6. Verify the charge is correctly saved as recurring

For Existing One-Time Charges:

⚠️ Important: The system cannot convert existing one-time charges to recurring charges, or vice versa. If you need a recurring charge, you must:

  1. Create a new charge from scratch

  2. Set it as "Recurring" during the initial creation process

  3. Delete or void the incorrect one-time charge if necessary

When to Contact Support

Contact support if:

  • You continue to experience issues creating new recurring charges after the fix

  • You need assistance with managing existing incorrect charges

  • You encounter any billing data discrepancies related to this issue

Best Practices

✅ Always double-check the charge type (recurring vs. one-time) before saving

✅ Verify that new recurring charges are saved correctly after creation

✅ Plan your billing setup carefully since charge types cannot be changed after creation
