Troubleshooting Workflow Email Delivery to Email Groups - Whitelist Requirements

This guide helps resolve workflow email delivery issues when emails work for individual users but fail to reach email groups or distribution lists. The most common cause is that [email protected] is not whitelisted as a trusted sender for the email group.

Symptom/Error

You'll experience these symptoms:

  • Workflow emails successfully deliver to individual email addresses

  • Same workflow emails fail to reach email groups or distribution lists

  • Emails appear as "sent" in Mandrill, but recipients never receive them

  • No error messages appear in the Dazos workflow system

Cause

Email groups often have stricter security settings than individual inboxes.

When [email protected] is not whitelisted as a trusted sender for the group, the group's email server rejects the messages at the recipient level, even though Dazos successfully sends them.

Solution

Step 1: Access Your Email Group Settings

Navigate to your email system's administration panel, where you can manage distribution lists and email groups.

Step 2: Whitelist [email protected]

Add [email protected] as a trusted sender or safe sender for the affected email group. The exact steps vary by email provider:

  • Microsoft 365: Add to the group's allowed senders list

  • Google Workspace: Configure the group's whitelist settings

  • Exchange Server: Update the group's mail flow rules

Step 3: Test the Configuration

After whitelisting, trigger a test workflow to verify that emails now reach the email group successfully.

Alternative Solution: Use Individual Recipients

If whitelisting is not possible or doesn't resolve the issue:

  1. Remove the email group from the workflow

  2. Add individual email addresses of all group members directly to the workflow

  3. This bypasses group-level restrictions while ensuring all intended recipients receive the emails

Verification

After implementing the solution, you should see:

  • Workflow emails were successfully delivered to the email group

  • No bounced or rejected messages in Mandrill logs

  • Group members confirming receipt of workflow emails
