Troubleshooting Record Merge Permission Issues (CRM)

This guide helps resolve issues where some users cannot merge records in Dazos CRM, while administrators can successfully perform merges. This is typically a permissions-related issue that prevents certain user roles from accessing merge functionality.

Symptom/Error

Users report that they cannot merge records in Dazos CRM. Common symptoms include:

  • The "Merge Records" option does not appear in the "More" dropdown menu after selecting multiple records

  • Users receive permission-related error messages when attempting to merge

  • Merge functionality works for administrators but not for regular users or specific user roles

Cause

This issue occurs when user roles lack the necessary permissions to perform record merges. Record merging requires both "Delete" and "Edit" permissions for the specific module, as the merge process combines data from multiple records and removes duplicates.

Solution

Follow these steps to resolve merge permission issues:

Step 1: Identify Affected Users

Determine which users are experiencing merge issues and note their user roles.

Step 2: Check User Role Permissions

  1. Navigate to Settings / Manage Users

  2. Select Roles

  3. Locate the affected user role

Step 3: Update Module Permissions

  1. Click on the user role that needs merge access

  2. Find the module where users need to merge records (e.g., Leads, Accounts, Referral Sources)

  3. Ensure the following permissions are enabled:

    • Edit permission

    • Delete permission

  4. Save the permission changes

Step 4: Test the Fix

  1. Have the affected user log out and log back in to refresh their permissions

  2. Ask them to navigate to the module with duplicate records

  3. Have them select multiple records and check if "Merge Records" appears in the "More" dropdown

  4. Test the complete merge process to ensure it works properly

Verification / Expected Result

After updating permissions, users should be able to:

  • See the "Merge Records" option in the "More" dropdown menu when multiple records are selected

  • Successfully complete the merge process without permission errors

  • Access the merge interface showing side-by-side record comparison
