How to Set Up AI Assessment Sales Stages with the iScreen Agent (CRM)

Learn how enabling the iScreen AI Agent automatically creates and configures the necessary Opportunity sales stages for your workflow. This guide covers how to review these sensible defaults and track your AI assessments.

1. Before You Start

You will need:

  • A CRM Administrator login.

  • A customer instance where you want the AI assessment workflow available.

  • The iScreen (AI assessment) Agent feature available for your account.

Access requirements: Only CRM Administrators can enable the iScreen Agent from the Admin → Login Instances screen. Everyday users don't configure anything—once an administrator enables the agent, the new sales stages appear for everyone on that instance.

⚠️ Note: If you don't see the iScreen Agent option or the new sales stages after enabling it, the feature may not be turned on for your account. Contact Dazos support to confirm it's available for your instance.

2. Enable the iScreen Agent

  1. Log in as a CRM Administrator.

  2. Go to Admin → Login Instances.

  3. Find the customer instance you want to set up.

  4. Turn ON the iScreen Agent.

  5. Click Save.

That's the only action you need to take. The setup in the next sections happens automatically the moment you save.

💡 Tip: You only need to do this once per instance. Saving again later won't create duplicates or undo any changes you've made—the setup is completely safe to repeat.

3. What Happens Automatically

As soon as you save with the iScreen Agent turned on, the instance receives two new Opportunity sales stages:

New Sales Stage

What It Represents

Pending AI Assessment

The opportunity is waiting for the AI assessment to be completed.

AI Assessment Complete

The AI assessment has finished for the opportunity.

Both stages immediately become available in the sales-stage dropdown on any Opportunity, for every user role on that instance.

4. Review the iScreen Agent Configuration Defaults

The two new stages are also pre-selected as defaults on the iScreen Agent configuration screen, so the agent works right out of the box.

To review them:

  1. Go to CRM Settings → AI Agent → iScreen Agent.

  2. Open the AI Agent Configuration section.

Setting

Default Applied

Match OPP based on Sales Stage

Includes both Pending AI Assessment and AI Assessment Complete—added alongside any stages you had already selected.

Update Sales Stage (Once PAA created)

Set to AI Assessment Complete—but only if you hadn't already chosen a value there.

⚠️ Important: Your existing selections are always preserved. Nothing you previously chose is removed or replaced—the AI stages are simply added. You can change any of these selections at any time.

5. Using the New Sales Stages on Opportunities

Once the stages exist, you and your team can use them like any other sales stage:

  • Open any Opportunity and pick Pending AI Assessment or AI Assessment Complete from the sales-stage dropdown, then save.

  • The iScreen Agent uses these stages to match opportunities and to advance them automatically as the AI assessment progresses.

  • The stages also appear wherever the sales stage is used, such as Opportunity list views and reports.

6. Frequently Asked Questions

Q: I enabled the agent more than once—will I get duplicate stages?

No. The setup checks for the stages before adding them. Re-enabling or saving again never creates duplicates and never changes selections you've already made.

Q: Will this overwrite the stages I already selected in the configuration?

No. The two AI stages are added alongside your existing choices. "Match OPP based on Sales Stage" keeps everything you picked and simply gains the two AI stages. "Update Sales Stage" is only filled in if you had left it empty.

Q: What happens to the sales stages if I turn the iScreen Agent off?

The stages stay. They are intentionally kept because they may already be in use on existing opportunities. Turning the agent off never removes them.

Q: Do these stages get applied to my existing opportunities automatically?

No. Nothing is forced onto existing records. The stages simply become available to choose, and the agent uses them going forward.

Q: Who can see and use the new stages?

Every user role on the instance can see them in the Opportunity sales-stage dropdown as soon as the agent is enabled.

Q: Can I rename or remove the stages later?

You can manage sales stages through the usual CRM settings. The automatic setup only adds them if they're missing—it won't re-add a stage you've intentionally changed.

7. Need Help?

If the stages or defaults don't appear as expected:

  1. Confirm the iScreen Agent is turned ON for the instance in Admin → Login Instances, and that you clicked Save.

  2. Open an Opportunity and check the sales-stage dropdown for Pending AI Assessment and AI Assessment Complete; then review CRM Settings → AI Agent → iScreen Agent → AI Agent Configuration.

  3. Contact Dazos support with the instance details and reference CRM-3005.
