User Dropdown Filtering: Hide Inactive Users (CRM)

Learn how to validate the visibility of NO ACCESS and disabled users in CRM dropdowns. This guide covers how to check user filtering in the Leads module, lists, reports, workflows, and smart notifications.

Step 1: Verify Users with NO ACCESS / Disabled Status

  1. Navigate to Settings → User Management → Users

  2. Search for user (e.g., 'paras')

  3. Observe user roles and statuses

💡 Expected Result: Users with NO ACCESS and Disabled status are visible (baseline validation).

Step 2: Validate Dropdown Filtering in Leads Module

  1. Navigate to Leads module

  2. Open any dropdown (e.g., Assigned To)

  3. Check available user list

💡 Expected Result: NO ACCESS and Disabled users should appear in dropdown.

Step 3: Validate Filtering in List Conditions

  1. Go to Lists → Edit List

  2. Add condition → Assigned To

  3. Search for restricted user (e.g., 'paras')

💡 Expected Result: NO ACCESS and Disabled users should appear in dropdown.

Step 4: Validate Create Lead Assigned To Field

Go to Leads → Add New Lead 10. Click Assigned To dropdown 11. Search for restricted user

💡 Expected Result: Restricted users are not selectable.

Step 5: Validate Existing Record Edit Behavior

  1. Navigate to an existing Lead record

  2. Click on Edit

  3. Go to the Assigned To field

  4. Search for a user having NO ACCESS or Disabled Reps status (example: “paras”)

💡 Expected Result:

  • Users with NO ACCESS and Disabled Reps status should not appear in the dropdown while editing an existing record.

  • Only active and accessible users should be available for selection.

  • If searched, the system should display “No matches found” for restricted users.

Step 6: Validate Report Filters

  1. Navigate to Reports → Create/Edit Report

  2. Go to Filters section

  3. Select Assigned To field

  4. Search restricted user

💡 Expected Result: NO ACCESS and Disabled users should appear in dropdown.

Step 7: Validate Workflow Conditions

  1. Go to Automation → Workflows

  2. Create/Edit workflow

  3. Add condition → Assigned To

  4. Search restricted user

💡 Expected Result: NO ACCESS and Disabled users should appear in dropdown.

Step 8: Validate Smart Notifications

  1. Navigate to Module Management → Smart Notifications

  2. Add/Edit condition → Assigned To

  3. Search users

💡 Expected Result: NO ACCESS and Disabled users should appear in dropdown.
