Disabling a user is safe — it preserves all of their historical data and record assignments while removing them from your active user count. This is the recommended approach and is different from deleting a user, which would result in permanent data loss.
Before You Begin
You must have administrative access to User Management in Dazos CRM.
Identify which inactive user(s) you want to disable. Do not delete users — disabling is the correct action.
Avoid reusing or renaming inactive accounts, as this compromises data integrity and audit accuracy.
Steps
Log in to your Dazos CRM instance with administrative credentials.
Navigate to Settings → User Management → Users.
Locate the inactive user you want to disable. You can use the search bar to find them by name.
Open the user's profile by clicking the Edit (pencil icon) next to their name.
Change the user's status to Disabled (this may also appear as No Access depending on your configuration).
Save the changes to the user's profile.
You can now add a new user to fill the freed-up slot.
Verification / Expected Result
After disabling the inactive user:
The user will no longer count toward your active user limit.
All historical data, records, and assignments associated with the disabled user will be preserved.
The disabled user will not be able to log in to the CRM.
You will be able to add a new user to fill the freed slot.
Troubleshooting / Common Errors
Still unable to add a new user after disabling: Confirm the user's status was saved correctly as Disabled or No Access. Navigate back to the user's profile to verify the status change took effect.
Need more users than your current contract allows: If disabling inactive users is not sufficient and you need to increase your total user count, contact your Customer Success Manager to discuss adjusting your contracted user limit.
