Why Does the QuickBooks Connection Expire?
QuickBooks requires all third-party integrations to use authentication tokens that expire on a monthly basis. This is a security requirement enforced by QuickBooks itself and cannot be changed or extended by Dazos or your organization.
Previously, this meant the connection would silently break each month, causing transactions to stop syncing without any notification to your team.
How Dazos Handles This Now
Automatic Daily Renewal
Dazos now automatically renews the QuickBooks connection every day. This keeps the token active and means the connection should rarely — if ever — expire on its own. Manual reauthorization should no longer be a routine monthly task.
Email Notification on Disconnection
If the QuickBooks connection is ever interrupted, all admin users on your instance will receive an email notification the same day. The email includes a link to reconnect the integration directly, so your team can restore the sync quickly without needing to contact support.
⚠️ Note: Only users with admin-level access receive the disconnection notification email. If your team is not receiving these alerts, confirm that the affected users have admin permissions in Dazos CRM.
What Happens to Transactions Created While the Connection Is Down?
Any charges or payments created in Dazos while the QuickBooks connection is unavailable are not lost. Once the connection is restored, those transactions can be pushed to QuickBooks manually.
To sync missing transactions after reconnecting:
Navigate to the Transactions list in the CRM.
Select the transactions that were not synced during the outage.
Use the Manual Sync option to push them to QuickBooks.
✅ Best Practice: After reconnecting the QuickBooks integration, review your Transactions list to identify any records created during the downtime and manually sync them to ensure your books stay up to date.
