How to Set Up Customer Portal Access for Contacts (CRM)

Prerequisites

Before you begin, make sure you have:

  • Access to the relevant Account record in Dazos CRM

  • The contacts you want to grant portal access to are added to the Account (or you are ready to add them)

  • A valid email address on file for each contact who will receive portal access

💡 Note: The Customer Portal is included on all Dazos CRM plans — no additional purchase or upgrade is required.

Steps

  1. Enable portal access on the Account record. Open the Account record and navigate to the Account Portal Details section. Set Portal User = Yes. This is a required prerequisite — without this account-level toggle enabled, no individual contact logins will work, regardless of what is set on the Contact records.

  2. Add contacts to the Account (if not already added). From the Account record, click the ... (three-dot) menu and select Add Contacts to link any contacts who need portal access. Skip this step if your contacts are already associated with the Account.

  3. Enable portal access on each Contact record. Open each individual Contact record that requires portal access. Set Portal User = Yes and confirm that the correct email address is listed on the record. This email will be used as the contact's portal login.

  4. Save each Contact record. Saving a Contact with Portal User set to Yes automatically triggers an email to that contact containing:

    • The portal link

    • Their login email address

    • A system-generated password

  5. Preview or resend portal access as needed. From the Account's ... menu, you can use:

    • Go To Customer Portal — to preview the portal as it appears for that account

    • Resend portal password — to resend the access email to a contact

How to Preview the Portal as a Staff Member

Portal login is not tied to staff email addresses by default, which is why entering a staff email on the portal login page will return an invalid email error. To preview the Customer Portal as a staff member, create a test Account and Contact record using your own email address, then set Portal User = Yes on both the Account and the Contact. You will receive the portal credentials at your email and can log in to experience the portal as a client would.

Result

After completing these steps, each contact with Portal User set to Yes will receive an automated email with their portal link, login email, and password. They can use these credentials to access the Customer Portal. If a contact does not receive the email or needs their credentials re-sent, use the Resend portal password option from the Account's ... menu.
