Google Ads Spend Import and Marketing Efficiency (CRM)

Import Google Ads daily spend into the CRM to track monthly cost per VOB and admission. Admins select campaigns and history to import, then publish reports for the team. The integration is read-only, so no data is sent back to Google Ads.

You can now bring your Google Ads daily spend into the CRM and see, month by month, what you spent per VOB (Verification of Benefits) and per admission. Importing spend is read-only from the CRM's side — nothing is ever sent back to Google Ads, so your bidding signals are untouched. Administrators pick the campaigns and the amount of history to import, then publish a report that the rest of the team can open without administrator access.

1. Before You Start

You will need:

  • A Google Ads account already connected to your CRM, with a valid authorisation.

  • The Google Ads Customer ID of the advertising account whose spend you want (not a manager account — see the tip in section 2).

  • CRM administrator access to reach the Settings screens.

  • The Campaigns module enabled, for anyone who will read the published report.

Access requirements: choosing campaigns, importing spend and publishing reports are administrator only actions, done from Settings. Reading a published report only requires access to the Campaigns module — no administrator rights.

If you cannot see Google Ads Settings, or the Marketing Efficiency entry is missing from the left menu, contact Dazos support to enable the feature for your instance.

2. Open Google Ads Campaign Management

From the CRM, navigate to Settings → CRM Settings → Integrations → Google Ads Settings, then click Manage Campaigns.

The screen has three parts:

A Google Ads workflow is sending conversion data back to Google Ads. Spend import runs separately and still sends nothing. Turn the workflow off in Google Ads Settings if you want spend visibility only.

Nothing is being sent to Google Ads at all.

Choose your Google Ads Account, then your Customer ID, then click Find All Campaigns.

Tip: If you see "No campaigns can be listed for this Customer ID. Manager (MCC) accounts cannot be queried directly", you picked a manager account. Manager accounts hold other accounts rather than running ads themselves — choose one of the client accounts underneath it instead. The campaign list is cleared when this happens, so you can never tick a campaign belonging to a different customer by mistake.

3. Choose Which Campaigns to Import

Every campaign in that Google Ads account is listed, with its lifetime spend and whether the CRM is already importing it.

Campaign IDs and the Customer ID are partly hidden in this example. Your screen shows them in full.

The campaign as it appears in Google Ads.

Status

ENABLED or PAUSED in Google Ads. Paused campaigns can still be imported for their history.

Advertising Channel Type

For example SEARCH .

Total Spend

Lifetime spend reported by Google Ads, shown so you can recognise the campaign.

Last Synced On

When the CRM last updated its record of this campaign. A dash means never.

Sync Status

Synced — the CRM is importing this campaign. Not synced — it is not.

Use Search to filter by name, ID, status or channel, and Show to list only synced or only unsynced campaigns. The line beside them tells you how many campaigns are listed and how many you have ticked.

Tick the campaigns you want. As soon as one is ticked, the Spend History To Import picker appears:

1. Set From and To to the period of history you want. Google Ads keeps roughly a year of daily spend, so the screen tells you the earliest date actually available and will not let you choose earlier than that, or later than yesterday.

2. Click Save Campaign Selection.

3. A confirmation appears. It repeats that the spend history arrives on the next scheduled import, and warns that removing a campaign afterwards is not self-service. Click Yes.

Saving registers the campaigns. The history itself arrives on the next scheduled import — or immediately if you click Import Spend Now in the Marketing Efficiency section below.

Tip: The list refreshes itself once the save completes — your account and Customer ID stay selected, the tick boxes clear, and the campaigns you just registered now show as Synced.

Important: The dates you choose apply to the first import only. After that, the CRM keeps importing each new day automatically, past your chosen end date. The picker decides how much history to bring in; it does not freeze the campaign at that date.

Tip: Recent days are re-checked once a day for about a week. Google Ads restates cost after the fact — invalid-click credits can reduce a day's spend days later — so the CRM corrects a stored amount when Google Ads reports a different figure.

4. See Cost per VOB and Cost per Admission

In the Marketing Efficiency section, set a From and To date and click Show Efficiency.

You get one row per calendar month, newest first:

Reading the table:

A dash (—) means the figure cannot be calculated — there were no VOBs, or no admissions, or no spend that month to divide.

$0.00 (no data) means no spend was recorded for that month at all, usually because it is earlier than your Google Ads connection or earlier than the history you imported.

Every month in your date range appears, even months where nothing happened.

You may also see a notice above the table:

Normal for a campaign you just added. Wait for the next scheduled import, or click Import Spend Now.

"… have not received

spend for several days"

Usually the Google Ads authorisation has expired. Re-authorise the account in Google Ads Settings. Spend already imported is not affected.

5. Publish the Report for Your Team

Under the table, type a name in Publish this report and click Save View. The report appears in the Saved Views list straight away.

That publishes the report to the Marketing Efficiency page in the left menu, next to Campaigns, where your team can read it without administrator access.

Anyone with access to the Campaigns module can open that page, choose a saved report from the Report dropdown, and see the same numbers. The dates the report covers are shown next to its name. The page is read-only: it can only show reports an administrator has published, and it cannot be used to look at spend outside them.

Back in Settings, the Saved Views dropdown re-runs any published report so you can check what your team is seeing.

Tip: A saved report keeps the exact dates it was saved with, even once those dates age past the one-year window you can pick by hand. That is deliberate — a published report should not quietly change its own numbers over time. The flip side is that spend older than a year can only be reached through a report saved while it was still in range.

6. How the Numbers Are Calculated

Knowing exactly what each figure counts matters when you present them, so here is the full definition.

What counts as spend

Daily spend imported from Google Ads, for the campaigns in scope, placed in the month the spend actually occurred.

Spend you typed into a campaign by hand is not counted. Manual entries stay on the campaign untouched and are simply not treated as advertising spend, so importing can never overwrite them and they never distort the ratios.

Spend is added up across all the campaigns in scope first, and only then divided — so a VOB or an admission is never counted twice.

What counts as a VOB

Every VOB record created in that month.

What counts as an admission

Patients whose Admission Date falls in that month and who are currently in an admitted status ( In Treatment or Active - In Census ).

Important: Admissions are counted by current status. If a patient is discharged later, they stop being counted in the month they were admitted — so figures for past months can move.

Account-wide, not per campaign

Cost per VOB and Cost per Admit use the total VOB and admission counts for the month, not only the ones traceable to an advertisement. They answer "what did we spend per VOB this month", not "what did this one campaign cost per VOB". Months are calendar months in your CRM's timezone.

7. Frequently Asked Questions

Q: Does importing spend send anything to Google Ads? No. The spend import only reads. Sending conversion data back to Google Ads is a completely separate feature driven by the Google Ads workflow, and turning spend import on or off has no effect on it.

Q: I want spend figures but I do not want conversion data sent to Google Ads. Is that possible? Yes — that is the normal setup. Turn the Google Ads workflow off in Google Ads Settings and keep importing spend. The banner on the Manage Campaigns screen confirms which mode you are in.

Q: Which campaigns does the report cover? Every campaign currently being imported for the Customer ID you selected — not only the ones ticked on screen. If you want a narrower report, publish a saved view for the campaigns you care about.

Q: How far back can I import? About one year. Google Ads only retains roughly a year of daily spend, and the screen shows you the exact earliest date available.

Q: I saved my selection, but no spend appeared. What now? That is expected — saving registers the campaigns and the history arrives on the next scheduled import. Click Import Spend Now if you do not want to wait.

Q: Can I stop importing a campaign? Not from this screen. Once a campaign is registered, it keeps importing, and simply unticking it and saving again does not remove it — saving only ever adds campaigns. Contact Dazos support if you need to switch off a campaign's import.

Q: Can I re-save a campaign I have already registered? Yes, and it is safe. Re-saving does not re-import history the CRM already holds and does not duplicate anything — it just records your latest choice.

Q: What happens if our Google Ads authorization expires? The import stops, and you get a notice above the table telling you to re-authorize. Nothing already imported is lost or changed, and the import resumes from exactly where it stopped once the account is reconnected — no days are skipped.

Q: Will a spend figure change after it is imported? It can, and that is correct. Google Ads restates cost for a day or two after the fact, so the CRM re-checks recent days and updates a stored amount if Google Ads now reports something different.

Q: Who can see a published report? Anyone with access to the Campaigns module, through the Marketing Efficiency page in the left menu. They do not need administrator access, and they can only see reports an administrator published.

If you run into issues:

1. Check the notice above the Marketing Efficiency table — it names the most common causes, such as an expired Google Ads authorisation or a campaign still waiting for its first import.

2. Confirm the campaign shows Synced in the Sync Campaigns List, and that the Customer ID selected is the one the campaign belongs to.

3. Click Import Spend Now to force an immediate import and see whether it reports a failure.
