Filling In a Screen Flow from a Record (CRM)

Agents fill in a Screen Flow from a button on the record.

The form opens in a popup, one step at a time; fields can appear, disappear or become required as you answer, and Save & Close on the last step hands the answers to the workflows set up for the flow.

6. Frequently Asked Questions

1. Before You Start

You will need: access to the record and an active Screen Flow on its module.

Access requirements: anyone who can open the record can fill in the flow. If you cannot see a button, the module has no active flow for your record's version, or your role cannot open the record.

2. Open the Form

Open the record and click the flow's button beside Add Tag - or open the Screen Flows dropdown and pick the flow.

The popup shows the flow's name, a description if one was set, numbered dots for the steps that apply to this record, the fields of the current step, and the footer with Step x of n, Cancel, Back and Next.

3. Answer a Step

Fields marked with a red * are required. Click Next when the step is complete.

If a required field is blank, This field is required. appears under it and the form stays on the step. The message disappears as soon as you answer.

Answers are also checked for their type - when you leave the field and again on Next. A date, time or number that cannot be read, an email address that is not one, a phone number with letters in it, or a web address that is not one (such as "hello" - "example.com" and "https://example.com/page" are fine) shows a message such as Enter a valid date. and the form stays on the step until you correct it. A text, email, integer or decimal field stops at the length your administrator set for it (for a number, the digits count - separators do not); a value that is still too long shows Use at most n characters. A required checkbox must be ticked. A phone number is shown in the format your administrator chose under Company Details as soon as you leave the field.

Control

How to use it

Picklist /

Multipicklist

Click and pick; type to search the options.

Date / Datetime /

Time

Type the value in your date format or use the picker.

Checkbox

Click the box or its label.

Reference (read-only)

Repeats what you entered in a field on an earlier step. It updates by itself and cannot be typed into.

Tip: answers can change what comes next. A later step's field may appear, disappear or become required the moment you answer; the dots and "Step x of n" update immediately.

4. Move Between Steps

Next validates the current step and moves on; Back returns without losing answers. Steps with nothing to show for your answers are skipped and their dots are not drawn. The last step's button reads Save & Close.

5. Save & Close

Clicking Save & Close checks all answers once more. If something is missing or invalid the form jumps to that field with a message; otherwise the form closes with a confirmation and the flow's workflows run (fields updated, emails sent, records created, according to the setup).

Important: the form closes only through Cancel, the × or Save & Close. Clicking outside the form or pressing Escape does nothing, so half-filled answers are not lost by accident.

6. Frequently Asked Questions

Q: Where are my answers saved? They are not stored as such; they are handed to the workflows configured for the flow. Ask your administrator what each flow does.

Q: The step count changed while I was typing. That is expected: your answers decide which steps apply. Use Back if you want to review.

Q: I do not see a field a colleague sees. The record's version (for example the Lead type) decides which fields apply; some fields also depend on earlier answers. A record whose version field is still blank only gets the fields that are not limited to a version.

Q: Nothing happened after Save & Close. The form closed, which means the answers were accepted. Any visible effect depends on the workflows your administrator configured.
