1. Before You Start
You will need:
A CRM login that can view Call Logs on your Leads, Opportunities, or Contacts.
An active CallRail integration on your instance, with call recording turned on in CallRail for the tracked numbers you care about.
Access requirements: No setup is required to see the recording link — it works automatically for every CallRail call that has a recording. Changing or turning off the recording mapping (Section 4) is limited to the sysadmin and admin system accounts.
If recordings are not appearing on your call logs, confirm that recording is enabled in your CallRail account, or contact Dazos support to confirm the integration is set up for your instance.
2. Where to Find the Recording Link
Open a Lead, Opportunity, or Contact, go to its Call Logs related list, and open a call log for a CallRail call. On the call log, look for the Recording Link field.
When CallRail recorded the call, the field shows a clickable link. When there is no recording, the field is simply empty.
Tip: You can also open call logs directly from the Call Logs area of the CRM. The Recording Link behaves the same way wherever the call log is opened.
3. Listen to a Recording
1. Open the call log (Section 2).
2. Click the link in the Recording Link field.
3. The recording opens in a new browser tab on CallRail's player — you do not need to log in to CallRail.
Tip: Use this to review intake and admissions calls for quality, training, and compliance — all from inside Dazos, next to the rest of that client's history.
4. Manage the Recording Mapping (Administrators)
The recording link is delivered through CallRail's existing Call Log field mapping. A default mapping — Recording Link ← Recording — is added for you, so no action is needed to turn the feature on. Administrators can review, change, or remove it.
To open it, navigate to Settings → Integrations → CallRail Settings, then click Map CallLog Fields.

If you prefer a different source, edit the row and pick another CallRail field:

Important: Leave the Recording Link call-log field selected as the destination. That field is built to show as a clickable link on the call log — mapping a recording value to a plain text field would show the raw web address instead of a clickable link.
5. Capturing Recordings That Finish Late
CallRail sometimes finishes preparing a recording a few minutes after the call ends. If your call webhook arrives first, the call log is created without a link, and the link is added as soon as the recording is ready — as long as CallRail also notifies Dazos when the recording is done.
To make sure late recordings are captured, in your CallRail account add a Call Modified webhook pointing at the same Dazos webhook address you already use for completed calls. Dazos recognizes the call and updates the same call log — it never creates a duplicate.
Tip: If a call log shows no Recording Link right after a call, check back a few minutes later. With the Call Modified webhook in place, the link appears automatically once CallRail finishes processing.
6. How It Works
Only when a recording exists. The link is saved only for calls CallRail actually recorded. Calls without a recording leave the field blank — nothing is overwritten.
Existing links are protected. If a recording link was already saved, a later update for the same call never blanks it out.
No duplicates. Repeat notifications for the same call update the existing call log rather than creating a new one.
7. Frequently Asked Questions
Q: Do I need to set anything up to see recording links? No. The default mapping is added automatically, so recording links appear on new CallRail call logs that have a recording.
Q: A call log has no Recording Link — why? Either CallRail did not record that call (recording disabled for the number, an unanswered call, or a voicemail), or the recording was still processing when the call log was created. If you have the Call Modified webhook set up (Section 5), the link will appear shortly after.
Q: Do staff need a CallRail login to listen? No. The link opens CallRail's recording page directly in a new tab.
Q: Can an administrator turn this off? Yes. Open Settings → Integrations → CallRail Settings → Map CallLog Fields and delete the Recording Link ← Recording row.
Q: We're on a HIPAA-enabled CallRail account. Anything to know? On HIPAA-enabled CallRail accounts, recording links can expire roughly a day after the call (on standard accounts they remain available much longer). If your team needs to replay older recordings from inside Dazos, contact Dazos support about a longer-term recording option.
Q: Will old call logs from before this update get a recording link? No. The link is filled in going forward, as new call (and call-modified) notifications arrive from CallRail.
