Workflows - Use Related Contacts & Insurance Policy Fields in Update Fields (CRM)

The workflow "Update Fields" action can now copy values from a record's Related Contacts list and Insurance Policies list into regular fields.

For example, you can automatically fill an Account field with the name or phone of its first related contact, or with the insurance company of its primary policy - no manual re-entry needed. This works for workflows on Accounts, Leads, and Intake Opportunities.

How to set it up

1. Go to Settings > Workflows and open (or create) a workflow for Accounts, Leads, or Intake Opportunities. 2. Add an "Update Fields" action (or edit an existing one) and give it a title.

3. Click "Add Field" and, in "Select Field", pick the field you want to FILL (the target - for example an Account text field).

4. Click the value box next to the target field. The "Set Value" popup opens.

5. In the first dropdown choose "Field", then open the "Use Field" dropdown.

6. Type "Insurance" or "Related" to find the new sources - every entry is labelled with its list, e.g. "Payer Code (Insurance Policies)" or "Name (Related Contacts)".

7. Pick the source field - it appears in the value box as a readable tag, e.g. [{Accounts.Primary Insurance Company (Insurance Policies)}].

8. Click Save in the popup, then save the action and the workflow.

Which row is used when there are several?

- Insurance Policies: the policy whose Policy Priority is Primary is used (even if it is not Active). If no policy is marked Primary, the newest Active policy is used (the newest overall if none is Active). - Related Contacts: the first (oldest) related contact on the record is used.

- On an Intake Opportunity workflow, the lists come from the opportunity's parent Account. - During a bulk update, every record independently uses its OWN related contacts and policies.

When nothing is copied (and why that is safe)

- The record has no related contacts / no policies: the target field keeps its current value. - The chosen source field is empty on the selected row: the target field keeps its current value (it is never wiped).

- In both cases the workflow writes a "skipped" entry to the Dazos workflow log, so you can see the action ran but had nothing to copy.

TIP: These new entries are SOURCES only: they appear in the Set Value popup's "Use Field" list, not in the "Select Field" (target) dropdown. Writing INTO a related contact or policy row from a workflow is not supported.

FAQ

Q: I don't see the new fields in the "Select Field" dropdown. Where are they?

A: That dropdown lists the fields the action can WRITE TO. The Related Contacts / Insurance Policies fields are value SOURCES: pick a target field first, click its value box, choose type "Field", and look in the "Use Field" dropdown.

Q: Which modules support this?

A: Workflows on Accounts, Leads, and Intake Opportunities. On Intake Opportunities the values come from the parent Account's lists.

Q: Can I choose WHICH related contact is used (e.g. only the Emergency Contact)? A: Not yet - the first related contact on the record is used. A per-action filter is a possible future enhancement. Q: What happens if a record has ten policies?

A: The one marked Primary in the Policy Priority picklist is used, even if it is inactive. If no policy is marked Primary, the newest Active one is used.
