PAA or Assessment Report Returning Zero Results: How to Report on Nested Module Table Data (CRM)

PAA or assessment report returning zero results even though the data exists? Learn why module table data needs the module table set as the Primary Module.

Problem

You are running a report on PAA (Pre-Assessment) or assessment data, such as substance history details like substance type or amount used, and the report returns zero results, even though you know data exists in the system.

This is not caused by report sharing settings, Treatment Program restrictions, date range issues, formula errors, or multiple Lead Source conditions. Those standard fixes do not apply here.

Possible Causes

  • Data is stored in a nested module table, not a standard field. Certain assessment fields, including substance history details such as substance type and amount used, are stored inside a nested data table (also called a module table or sub-module) rather than as a flat, standard CRM field.

  • Standard CRM reports pull data from standard fields only. They cannot reach into nested module tables, which is why the report returns zero results even when data is present.

Solution

  1. Confirm the fields you need are stored in a module table. If you are reporting on PAA substance history details (for example, substance type, amount used, or similar nested assessment data), these fields live inside a module table such as Substance of Abuse, not as standard top-level fields.

  2. Navigate to Reports and click Create Report. Go to the Reports module in your CRM and click the Create Report button in the top-right corner.

  3. Select your report type. Choose Chart And Detail (recommended) or Detail if you only need raw data, then click Next.

  4. Select the module table as the Primary Module. In the Primary Module dropdown, look for the relevant module table (for example, Substance of Abuse) and select it. Module tables now appear alongside standard CRM modules in this dropdown.

  5. (Optional) Select a Related Module. If you also want to include parent record fields, such as Contact Name or Account, select the appropriate parent CRM module from the Related Module dropdown. If you only need the module table fields, leave this blank.

  6. Click Next, then set any filters. Apply filters such as date range or substance type to narrow your results. Click Next when done, or leave blank to include all records.

  7. Select your report columns. Choose the fields you want as columns, for example substance type, amount used, or any other module table fields. If you selected a Related Module, its fields will also appear here. Click Next.

  8. Configure the chart type and save. Select your preferred chart type (for example, Raw Data Table for a full export, or Summarized Grouped Table for counts and sums). Click Save.

  9. Run the report and verify results. The report should now display rows for each module table record, with the substance history fields populated correctly.
