1. Before You Start

You will need:

  • iCampaign text messaging enabled for your CRM instance, with the iCampaign URL already saved under Settings → Crm iCampaign Mapping.

  • An iCampaign login with access to Settings → API Tokens in iCampaign (administrators only, for the one-time setup in section 2).

  • A role with the Access SMS Conversations permission (staff).

Access requirements: the setup in section 2 is done once per CRM instance by an administrator. After that, every user who can text from the inbox can also attach files.

If the paperclip button is missing from the message box, the API token has not been saved yet (section 2), or text conversations are not enabled for your instance — contact your administrator or Dazos support.

2. Set Up the iCampaign API Token (administrators)

1. In iCampaign, open Settings → API Tokens and generate a new token. Give it a clear description, for example, CRM conversations, and copy it.

2. In the CRM, open Settings → Crm iCampaign Mapping (listed under Configuration). Below the iCampaign URL form, you will find the iCampaign API token.

3. Paste the token and click Save token. The page confirms the iCampaign API token is saved.

Description

Example

iCampaign

API token

The token generated in iCampaign. It is stored securely and is never shown again in full — the page only shows its last four characters, e.g., Saved token ending in …9890.

A long string copied from iCampaign

To rotate the token later, paste the new one and click Save token again. Saving the token (or the iCampaign URL) also makes the CRM re-check with iCampaign whether text conversations are available.

Important: Until you save a token, staff can still send plain text messages, but the paperclip button won't show, and any attempt to send a file will be refused with "File sending is not set up yet."

3. Attach a File to a Message

Open a conversation in Conversations → SMS Conversations and use any of these:

Action

How

Paperclip

Click the paperclip left of the message box and choose a file.

Paste

Paste a screenshot or a copied image straight into the message box.

Drag and drop

Drag a file from your computer onto the conversation.

The chosen file appears above the message box with a thumbnail (for photos), its name, its size, and its type. Click the × to remove it. You can send the file on its own, or type a message to go with it, then click Send.

While the file is being sent, the chip above the message box shows the upload progress as a ring, and the Send button shows the percentage. Once the message is queued, the chip disappears, and the message appears in the thread.

Tip: the rules that apply to your instance — allowed types and the maximum size — are always printed under the message box, for example, One file per message: JPG, JPEG, PNG, GIF, PDF, CSV, up to 5 MB.

4. File Rules and Why a File Can Be Refused

Rule

Detail

Allowed types

JPG, JPEG, PNG, GIF (photos), PDF and CSV (documents). Word, Excel, and TXT files are not accepted by iCampaign.

Maximum size

5 MB at most; your instance may apply a lower limit (shown under the message box).

One file per

message

Each message carries at most one file. To send several, send several messages.

Text is optional

A message may be text only, a file only, or both — never neither.

One recipient at a time

A file can be sent to one number per message.

When a file is refused, the message tells you why, and your text and file stay in the message box so you can fix it and send again:

Message

Cause

What to do

This file type is not supported. Allowed types: …

The file is not an allowed type.

Convert or export it (for example, a spreadsheet to CSV, a document to PDF).

The file is too large. The

maximum size is …

Over the size limit.

Reduce the photo size or split the document.

The file content does not

match its type. Save it again as a … and retry.

The file's content doesn't match its name (for example, a text file renamed to .jpg).

Save it again from the original application.

One file per message: only the first file was attached.

Several files were dropped or pasted at once.

The first one is attached; send the others as separate messages.

Too many files sent in a short time. Please try again in a

moment.

iCampaign's limit on uploads was reached.

Wait a moment and send again.

File sending is not set up yet …

No API token saved for your

instance.

Ask an administrator (section 2).

Important: nothing is sent until iCampaign has accepted the file. If the upload fails for any reason, no message goes out, and you keep your text and file.

5. What You See After Sending

In the thread, a photo appears as a thumbnail inside your message bubble (click to view full size), and a document appears as a file card— a PDF or CSV with a type badge, and Open or Download depending on what your browser can display. The conversation list preview shows Photo or File for the newest message, and the status under the bubble moves from Queued to Sent and Delivered as iCampaign reports progress.

The recipient receives your text and the file as one message on their phone.

6. Sending a File from a Record

On a Contact, Lead, or Account, open the Text Messages section (in the Emails related list) and click Show Conversations. The popup has the same paperclip button, the same rules under the message box, and shows photos and file cards in the same way. Choose the number to send to, attach the file, type your text if you want one, and click Send SMS.

7. Frequently Asked Questions

Q: I cannot see the paperclip. The iCampaign API token has not been saved for your instance (section 2), or text conversations are not enabled for it. Plain text still works in the meantime.

Q: Can I attach several files to one message? No — one file per message is iCampaign's rule. Send a second message for the next file. If you drop several files at once, only the first is attached, and you'll get a notice.

Q: Which file types can I send? JPG, JPEG, PNG, GIF, PDF, and CSV. Word, Excel, and TXT files are refused; export them to PDF or CSV first.

Q: My file is a photo, but it was refused as "does not match its type". The file content isn't a real photo (for example, a renamed document). Save it again from a photo application and retry.

Q: Is the file stored in the CRM? No. The file goes to iCampaign, which keeps it; the CRM stores only the link and shows the file from iCampaign. The original file name is not kept — cards show the type.

Q: Does sending a photo cost more than a text? Picture and file messages are billed by iCampaign according to your plan, like any multimedia message. Check with iCampaign if you are unsure.

Q: The message says "Rejected" after sending a file. The file was accepted,, but the mess be handed to iCampaign for delivery. Try again; if it keeps happening, contact your administrator — the status detail under the message says what went wrong.

Q: Can I replace the API token? Yes. Paste the new token under Settings → Crm iCampaign Mapping and click Save token. Only the last four characters are ever shown.

Need Help?

If you run into issues:

1. Read the message shown when a file is refused (section 4) and the status under your sent message (Queued, Sent, Delivered, Rejected).

2. Administrators: confirm the iCampaign URL and the API token under Settings → Crm iCampaign Mapping — saving the token again is harmless.

3. Contact Dazos support with the conversation's phone number, the time of the message, the file type and size, and reference CRM-3623.
