AdvancedMD EMR Integration: Customer Overview (CRM)

An overview of how Dazos CRM and AdvancedMD share patient, admission and discharge information, and what we need from you to set it up.

What the integration does for you

Dazos connects your admissions work in the CRM to your patient records in AdvancedMD, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical and billing teams keep working in AdvancedMD; the two stay in step on their own.

Dazos sends to AdvancedMD

AdvancedMD sends back to Dazos

A new patient chart, with name, date of birth, sex, marital status, address, phone numbers and email

Who has been admitted, based on a completed appointment

The responsible party: the patient, or for patients under 18 the primary policyholder

The admission date

The primary insurance policy (optional)

Discharge dates and discharge type

Your referral source as an AdvancedMD referring provider, plus an inbound referral dated to the admission

The patient's MR Number

Pre-admission assessment, VOB and other paperwork, filed in your AdvancedMD folders

Insurance policies (optional)

Address, phone, email and sex changes when you save

Patients found only in AdvancedMD (optional)

The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.

Highlights

  • Returning patients keep one chart. If the person is already linked to an AdvancedMD patient, sending a new Intake Opportunity updates that chart and links the new stay to it, instead of creating a duplicate.

  • Referrals tracked in AdvancedMD. Your Dazos referral source becomes an AdvancedMD referring provider (created for you the first time), and, when the Intake Opportunity has an Admission Date, an inbound referral is opened starting on that date.

  • Paperwork lands in the right folder. Each kind of paperwork (pre-admission assessment, VOB, Intake Opportunity documents, contact documents) goes to the AdvancedMD folder you choose.

  • Admissions recognised automatically. When AdvancedMD shows a completed appointment, Dazos marks the patient admitted and starts your admission workflows and the Treatment Episode.

  • Control over who can send. Only roles with the Push to EMR permission can send patients and files to AdvancedMD. Insurance policies marked Inactive are never sent.

Day to day for your admissions team

Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.

1. Send the patient to AdvancedMD

When a patient is ready, choose one of:

  • Open the Intake Opportunity, click ⋯ (More), and choose Create Patient in AdvancedMD.

  • Or let it happen automatically: your administrator can send patients when they reach a stage such as Pending Admit. This uses the Intake Opportunity's Treatment Program to pick the right AdvancedMD connection.

Dazos warns you before sending the same patient twice ("Are you sure you want to send it again?"). After the send, the Intake Opportunity shows a Linked EMR Record box with the patient's AdvancedMD details. If your Intake Opportunity layout has an EMR ID field, Dazos fills it in with the AdvancedMD patient ID.

2. Paperwork follows automatically

When the chart is created, Dazos attaches the latest pre-admission assessment, the latest VOB, and the documents on the Intake Opportunity and the Account, each into its AdvancedMD folder. Your administrator chooses which of these are sent. To send more files later, open the Intake Opportunity's Documents list, tick the files, and click Send File to ADVANCEDMD.

3. Keep details current

When you save the Intake Opportunity, Dazos sends any changes to the patient's address, phone numbers, email and sex to AdvancedMD. Name, date of birth and insurance are not updated this way.

4. Link a chart that already exists

If a patient was entered in AdvancedMD first, click Link EMR Record in the Linked EMR Record box, pick the patient from the list of recently updated AdvancedMD patients (the last 30 days by default), and click Link. Un-link EMR Record reverses it.

What comes back from AdvancedMD

Every hour, Dazos checks AdvancedMD for changes and updates the matching Dazos records. Nobody on your team needs to do anything. Here is exactly what changes, and when.

Step 1: Matching the patient

Patients you send from Dazos are linked straight away. For patients entered directly in AdvancedMD, Dazos looks at AdvancedMD patients changed in the last day and links one to an Intake Opportunity only when all of these are true:

  1. First and last name match

  2. Date of birth matches

  3. AdvancedMD shows a completed appointment for the patient

If more than one Intake Opportunity matches, Dazos prefers the one whose Admission Date is the same as the appointment date, or within 2 days of it. Once linked, the patient's AdvancedMD MR Number is filled in on the Intake Opportunity.

Step 2: Ongoing updates

For every linked patient still in treatment, Dazos updates:

What updates in Dazos

What it shows

Always or optional

Admitted Status

In Treatment once AdvancedMD shows a completed appointment

Always

Sales Stage

Moves to Admitted when AdvancedMD shows a completed appointment. This starts your admission workflows and the Treatment Episode.

Always

Admission Date

The date of the completed appointment (never a future date)

Always

Discharge Date

The date the patient was made inactive in AdvancedMD, or the date of death

Always

Discharge Type

The patient's AdvancedMD inactive status, translated to your discharge types

Always

MR Number

The MRN recorded in AdvancedMD's Additional MRN field

Always

Insurance

Insurance plans on the AdvancedMD patient

Optional

Patients found only in AdvancedMD. If a patient appears in AdvancedMD and has no Dazos record, Dazos can create the Account and an Intake Opportunity for them (admitted if AdvancedMD shows a completed appointment), so admissions and census reports stay complete. This is optional. Administrators can also bring in selected AdvancedMD patients by hand with Manual Pull Patients from EMR in the EMR settings.

After discharge. Once AdvancedMD shows the patient discharged, Dazos records the discharge date and type and stops pulling updates for that record. The record shows "Patient Discharged: EMR Updates Locked", which protects the finished treatment episode from later changes in AdvancedMD.

Your Implementation Specialist will confirm which optional updates to turn on during setup.

Seeing what changed. The Linked EMR Record box on the Intake Opportunity shows the AdvancedMD ID, MR Number, level of care, location and the last sync time. AdvancedMD updates are not listed on the record's Updates tab.

Need it right now? Click Pull Updates from EMR in the Linked EMR Record box to refresh that patient immediately instead of waiting for the hourly update.

Getting started: what we need from you

Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.

  • AdvancedMD API details: Username, Password, Office Code and App Name, plus a Location Alias for each AdvancedMD connection

  • The AdvancedMD Profile ID and Provider ID to use for new charts, referrals and documents

  • Which Treatment Programs go to which AdvancedMD connection, if you have more than one

  • Your AdvancedMD carriers, matched to the payer codes you use in Dazos

  • The AdvancedMD folder for pre-admission assessments, VOBs and each kind of document

  • Your AdvancedMD inactive statuses, and the Dazos discharge type each one means

  • Which staff roles may send data to AdvancedMD

  • Whether insurance should be sent and pulled, and whether patients found only in AdvancedMD should be added to Dazos

Once the details are entered, your administrator can click Test Connection to confirm Dazos can reach AdvancedMD. Dazos has no separate test-mode switch for AdvancedMD: it connects to the AdvancedMD office your credentials belong to.

Common questions

How fast do AdvancedMD changes show up in Dazos? Within the hour. For one patient right away, use Pull Updates from EMR.

Why didn't an AdvancedMD patient link to our record? First and last name and date of birth must match, and AdvancedMD must show a completed appointment. Dazos only checks patients changed in AdvancedMD in the last day, so the quickest fix is to use Link EMR Record.

Insurance didn't show up in AdvancedMD. Why? Only the primary (first-priority) active policy is sent, and only if sending insurance is turned on for your organisation. Each insurance company should also be matched to its AdvancedMD carrier. Ask your administrator or Dazos Technical Services.

I clicked Admit and Send to EMR. Did the chart go to AdvancedMD? No. That option admits the patient in Dazos only for AdvancedMD. Use Create Patient in AdvancedMD, or your stage automation.

Does level of care come back from AdvancedMD? No. Level of care stays as your team sets it in Dazos.

Can we have several AdvancedMD connections? Yes. Each one is connected separately, and patients go to the right one by Treatment Program.

Are emergency or related contacts sent? They aren't added to the AdvancedMD patient record.

I can't see the AdvancedMD send options. Your role may not have the Push to EMR permission. Ask your administrator.
