What the integration does for you
Dazos connects your admissions work in the CRM to your clinical chart in Aura, Sigmund's EHR, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in Aura; the two stay in sync on their own.
Dazos sends to Aura | Aura sends back to Dazos |
A new client chart, with name, date of birth, sex, address, phone numbers and email | Admissions and admission dates, for every stay |
Insurance policies, in priority order | Discharges, discharge dates and discharge type |
Related and emergency contacts | The patient's MR Number |
Pre-admission assessment, VOB and other paperwork | Level of care and treatment location at admission |
Changes you save on the Account or Intake Opportunity | New stays for returning patients, as new Intake Opportunities |
Demographic and emergency contact changes (optional) |
The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.
Highlights
One Aura chart per person, every stay tracked. A returning patient keeps the same Aura chart. Each stay in Aura is matched to its own Intake Opportunity in Dazos, and a new Aura stay for a linked patient appears in Dazos as a new admitted Intake Opportunity.
Re-admissions without duplicates. If you send a returning patient's new Intake Opportunity before Aura opens the stay, Dazos connects the two automatically once the stay appears.
Paperwork follows the patient. Pre-admission assessments, VOBs and documents are filed in Aura under the document type you choose.
Aura's lists in one click. In Settings, Sync from AURA loads Aura's statuses, discharge types, levels of care, programs and document types, ready to match to yours.
Control over who can send. Only roles with the Push to EMR permission can send patients and files to Aura. Insurance policies marked Inactive are never sent, and if a send fails, staff see a plain reason without the patient's details.
Day to day for your admissions team
Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.
1. Send the patient to Aura
When a patient is ready, choose one of:
Open the Intake Opportunity, click ⋯ (More), and choose Create Patient in AURA.
Or let it happen automatically: your administrator can send patients when they reach a stage such as Pending Admit. This uses the Intake Opportunity's Treatment Program to pick the right Aura account.
Dazos warns you before sending the same patient twice ("Are you sure you want to send it again?"). If the person already has an Aura chart, Dazos updates that chart and links the new Intake Opportunity to it rather than creating a second chart. The confirmation tells you how many insurance policies, contacts and documents went over. Aura's MR Number is filled in on the Intake Opportunity straight away, and a Linked EMR Record box shows the patient's Aura details.
2. Paperwork follows automatically
When the chart is created, Dazos attaches the latest pre-admission assessment, the latest VOB, and the documents on the Intake Opportunity and the Account. Your administrator chooses which of these are sent. You can send one again any time: from the assessment's or VOB's ⋯ menu, or with Send Document to EMR on a document. The patient must be in Aura first.
3. Keep details current
Each time you save the Contact or Intake Opportunity, Dazos sends Aura the latest details, including active insurance policies and related contacts. No re-sending needed. You can also push the latest details at any time with Push Update EMR Record from the Action menu in the Linked EMR Record box.
4. Link a chart that already exists
If a patient was entered in Aura first, click Link EMR Record in the Linked EMR Record box, search by name, date of birth or MR number, and click Link on the right stay. Each Aura stay is listed on its own row. Un-link EMR Record reverses it.
What comes back from Aura
Every hour, Dazos reads the Aura chart and every stay for each patient linked to Aura, and updates the matching Dazos records. Nobody on your team needs to do anything. Here is exactly what changes, and when.
Step 1: Matching each stay
A patient is linked to Aura when you create them from Dazos, link them with Link EMR Record, or an administrator pulls them in. For each of that patient's Aura stays, Dazos uses the first of these that applies:
The Intake Opportunity already linked to that stay
An Intake Opportunity you sent to Aura that is still waiting for its stay
The patient's most recent Intake Opportunity that isn't linked to Aura yet
Otherwise, a new admitted Intake Opportunity is created for the stay
Step 2: Ongoing updates
For every linked stay, Dazos updates:
What updates in Dazos | What it shows | Always or optional |
Admitted Status | Aura's discharge status translated to yours; otherwise In Treatment while admitted and Discharged: Completed after discharge | Always |
Sales Stage | Moves to Admitted once the Aura stay has started and the patient has an MR Number. This starts your admission workflows and the Treatment Episode. | Always |
Admission Date and Discharge Date | The start and end dates of the Aura stay | Always |
Discharge Type | Aura's discharge type translated to yours (Successful: Completed if none is given) | Always |
MR Number | The Aura medical record number | Always |
Level of Care and Treatment Program | Filled in when the patient is admitted: the level of care from the stay's primary program, and Aura's admitting facility | Always |
Level-of-care history | A history entry when the level of care changes | Optional |
Name, date of birth and demographics | Corrections made in Aura | Optional |
Emergency contacts | Contacts on the Aura stay | Optional |
Dazos never blanks out a field just because Aura left it empty.
Patients admitted only in Aura. New stays for patients already linked to Aura are added to Dazos automatically, as described above. For people who have no Dazos record at all, an administrator can use Manual Pull Patients from EMR in the EMR settings to search Aura and bring them in: Dazos creates the Account and one Intake Opportunity for each stay.
After discharge. Dazos records the discharge date, discharge type and Admitted Status. The stay stays linked, so later corrections made in Aura (for example a corrected discharge date) still reach Dazos.
Your Implementation Specialist will confirm which optional updates to turn on during setup.
Seeing what changed. Every change Aura makes is listed on the record's Updates tab, with the date and time. The Linked EMR Record box on the Intake Opportunity shows the Aura stay ID, MR Number, level of care, location and the last sync time.
Need it right now? Click Pull Updates from EMR in the Linked EMR Record box on the Intake Opportunity, or Pull Patient Updates from EMR on the Account, to refresh that patient immediately instead of waiting for the hourly update.
Getting started: what we need from you
Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.
Your Aura API key from Sigmund (entered as the Client Id) and a Location Alias for each Aura account
Which Treatment Programs go to which Aura account, if you have more than one
The Aura payer ID for each insurance company you use, so policies can be sent
How Aura's discharge statuses and discharge types match your Admitted Status and Discharge Type values
How Aura's levels of care (programs) match yours
The Aura document type for pre-admission assessments, VOBs and each document folder
Which staff roles may send data to Aura
Which optional updates you want: demographics, emergency contacts and level-of-care history
Most Aura lists can be loaded with Sync from AURA, and your administrator can click Test Connection to confirm Dazos can reach Aura. Dazos has no separate test-mode switch for Aura: it connects to the Aura environment your API key belongs to.
Common questions
How fast do Aura changes show up in Dazos? Within the hour. For one patient right away, use Pull Updates from EMR.
Why did a new Intake Opportunity appear for a patient? Aura has a new stay for that patient and no unlinked Intake Opportunity was waiting for it, so Dazos created one for the stay.
Why didn't an Aura patient link to our record? Patients first entered in Aura aren't matched automatically. Use Link EMR Record on the Intake Opportunity, or ask an administrator to use Manual Pull Patients from EMR.
Insurance didn't show up in Aura. Why? Each insurance company needs its Aura payer ID matched once in Settings. Policies without one, and policies marked Inactive, are skipped. The send message lists any policy Aura rejected.
Do insurance changes made in Aura come back to Dazos? No. Keep insurance up to date in Dazos and it is sent to Aura when you save.
I clicked Admit and Send to EMR. Did the chart go to Aura? No. That option admits the patient in Dazos only for Aura. Use Create Patient in AURA, or your stage automation.
Can we have several Aura accounts? Yes. Each account is connected separately, and patients go to the right one by Treatment Program.
Are emergency or related contacts sent? Yes. The patient's related contacts are sent to Aura as emergency contacts.
I can't see the Aura send options. Your role may not have the Push to EMR permission. Ask your administrator.
