Opus EMR Integration: Customer Overview (CRM)

How the Dazos CRM and Opus integration works, what your admissions team does day to day, what comes back from Opus, and what we need from you to get started.

What the integration does for you

Dazos connects your admissions work in the CRM to your clinical chart in Opus, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in Opus; the two stay in sync on their own.

Dazos sends to Opus

Opus sends back to Dazos

A new patient chart, with name, date of birth, contact details, address and demographics

Who has been admitted, and when they are discharged

An Episode of Care at the right Opus location, with start and end dates

Discharge dates and discharge type

Insurance policies and emergency contacts (optional)

Level of care and location

Pre-admission assessment, VOB and other paperwork

The patient's MR Number

Episode of Care fields you choose, such as referral source

Name, demographic, contact and insurance changes (optional)

Bed assignments, if your bed board uses Opus beds

Beds and who is in them

The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.

Highlights

Your own Opus fields, filled from Dazos. Besides the standard chart details, Dazos can fill the Episode of Care's discharge reason and referral source, plus the custom fields on your Opus Additional Information Form. The mapping screen shows how to name each field so Opus accepts it.

Clear messages before anything is sent. If a field Opus requires is missing, Dazos lists exactly which ones and doesn't send a half-finished chart.

Paperwork lands in the right place. Each kind of paperwork is matched to one of your Opus document types, with a default type for everything else.

Two-way bed board. Beds and occupancy come in from Opus, and assigning a patient to an Opus bed in Dazos assigns them in Opus too.

Also included: emergency contacts and insurance in both directions, optional demographic updates from Opus, support for several Opus locations, control over who can send data to Opus, and a full change history on every record.

Day to day for your admissions team

Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.

1. Send the patient to Opus. When a patient is ready, choose one of:

  • Click Admit Patient and choose Admit and Send to EMR to admit and create the chart in one step.

  • Or open the Intake Opportunity, click ⋯ (More), and choose Create Patient in Opus.

Dazos creates the patient, then opens an Episode of Care at the Opus location that matches the patient's Treatment Program. If the patient is already in Opus, the same menu item reads Create New Episode of Care in Opus and adds a new episode to the existing chart, so returning patients aren't duplicated. You can also create the chart alone, without an episode, from the patient's Account by choosing Create Patient in Opus.

Before sending, Dazos checks that Mobile Phone Number, Address Line 1, City, State, Zipcode and Legal Sex have values, along with any fields your administrator marked as mandatory. Dazos warns you before sending the same patient twice. After the send, the Intake Opportunity shows a Linked EMR Record box with the patient's Opus details.

2. Paperwork and details follow automatically. When the patient is created, the latest pre-admission assessment, the latest VOBs and the documents on the Intake Opportunity and Account are attached to the Episode of Care. If your setup includes them, the patient's active insurance policies and emergency contacts are added to the chart as well.

3. Send more paperwork later. Once the patient is linked:

  • Open the pre-assessment and click ⋯ (More), then Send PAA to Opus.

  • Open the VOB and click ⋯ (More), then Send VOB to Opus.

  • Open a document and click ⋯ (More), then Send Document to EMR.

These need an active Opus Episode of Care linked to the Intake Opportunity. Dazos tells you right away whether the upload went through.

4. Keep details current. After you update a phone number, address or other details in Dazos, click Push Update EMR Record in the Linked EMR Record box. Dazos updates the Opus chart and the Episode of Care (location, dates and the fields you've mapped). Insurance policies and emergency contacts aren't re-sent this way.

5. Assign beds. If your bed board uses Opus beds, assigning a linked patient to a bed in Dazos assigns them in Opus too, and removing them releases the bed in Opus.

What comes back from Opus

Every hour, Dazos reads your active Opus Episodes of Care and updates the matching Dazos records. Nobody on your team needs to do anything. Here is exactly what changes, and when.

Step 1: Matching the patient. Patients you send from Dazos are linked as soon as they are created. For episodes started in Opus, Dazos looks at active Episodes of Care at each Opus location you've connected and links one to an Intake Opportunity only when all four of these match:

  1. First and last name

  2. Date of birth

  3. Treatment Program (the Opus location)

  4. Admission date, within 2 days of the episode's start date

Once linked, the patient's Opus MR Number and level of care are filled in on the Intake Opportunity.

Step 2: Ongoing updates. For every linked patient still in treatment, Dazos updates:

Beds. If your bed board uses Opus beds, Dazos refreshes the beds from Opus, marks which are occupied and shows the linked patient in each one. Before the first refresh, you can bring your beds in with Beds from Opus and Import on the bed board.

Patients only in Opus. Dazos doesn't create new records for patients who exist only in Opus. They are linked only when a matching Intake Opportunity exists.

After discharge. Once Opus shows the episode ended, Dazos records the discharge and stops pulling updates for that record. The record shows "Patient Discharged: EMR Updates Locked", which protects the finished treatment episode from later changes in Opus. If updates need to resume, click Unlock EMR Updates in the Linked EMR Record box.

Your Implementation Specialist will confirm which optional updates to turn on during setup.

Seeing what changed. Every change Opus makes is listed on the record's Updates tab, with the date and time. The Linked EMR Record box on the Intake Opportunity shows the Opus Episode of Care ID, MR Number, level of care, location and the last sync time.

Need it right now? Click Pull Updates from EMR in the Linked EMR Record box to refresh that patient immediately instead of waiting for the hourly update. If a patient didn't link on their own, click Link EMR Record and pick the right Episode of Care from your Opus locations.

Getting started: what we need from you

Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.

  • Your Opus API Base URL and Secret Key, and a Location Alias for each Opus account

  • Your Opus location names, and which Treatment Programs go to each

  • Your full list of Opus discharge reasons and level-of-care names, spelled exactly as in Opus

  • Your Opus insurance company names, matched to the ones you use in Dazos

  • The Opus document type for PAAs, VOBs and each document folder, plus a default type

  • Any Episode of Care or Additional Information Form fields you want filled, with their labels exactly as in Opus

  • Whether emergency contacts and insurance should go both ways, and whether name, date of birth and demographic changes should come back from Opus

  • Whether your bed board should use Opus beds

  • Which staff roles may send data to Opus

If Opus has given you a test site, we can connect to it first and switch to your live Opus at go-live.

Common questions

How fast do Opus changes show up in Dazos? Within the hour. For one patient right away, use Pull Updates from EMR.

Why didn't an Opus patient link to our record? Name, date of birth, Treatment Program and admission date (within two days of the episode start) must all match, and the episode must be active at an Opus location you've connected. Fix any typo and the next check links them, or use Link EMR Record.

The patient is coming back for another stay. Do we get a second chart? No. When the Account is already in Opus, Dazos offers Create New Episode of Care in Opus and adds the new stay to the existing chart.

Dazos says required fields are missing. What now? The message lists them, usually phone, address or Legal Sex. Fill them in and send again.

I updated the address in Dazos. Why didn't Opus change? Click Push Update EMR Record in the Linked EMR Record box to send the update.

A field we mapped never shows up in Opus. Why? Opus accepts names it doesn't recognize and then ignores them. Check that the field is named exactly as Opus expects; the mapping screen explains how.

A document wasn't sent. What now? The document needs an Opus document type matched to it and an active Episode of Care on the record. Ask your administrator to check the document type list.

Can we have several Opus locations? Yes. Each location is connected separately, and patients go to the right one by Treatment Program.

I can't see the Opus send options. Your role may not have the Push to EMR permission. Ask your administrator.
