Report Export Permissions: Enabling CSV & Excel File Downloads (CRM)

Report Export Permissions: Enabling CSV

Updated yesterday

Intro / Context: This guide addresses why certain users (like BD Reps) may only see the option to export reports as PDF and how to grant them the necessary privileges to export data as CSV or Excel.

Q: Why are my team members (e.g., BD Reps) only able to export reports as PDF, but not as CSV or Excel?

A: This issue occurs because the user's Role is missing a specific, necessary privilege under the Tools section: Export and Print. Even if the role has general "Report" privileges, it needs this separate permission to enable data exports (CSV/Excel).

Q: How do I grant specific Roles the ability to export reports to CSV and Excel?

A: You must grant the specific privilege directly to the user's role:

  1. Navigate to Settings: Click the Settings gear icon⚙️ CRM Settings.

  2. Access User Management: Go to the User Management section.

  3. Open Roles: Click on Roles.

  4. Select the Role: Click on the name of the role you need to modify (e.g., Rep).

  5. Edit Privileges: Locate the Edit Role Options section.

  6. Look for the box labeled Assign Privileges Directly to Role and click on it.

  7. Find Export Permission: Scroll down to the Tools section (or use the search/filter).

  8. Find the privilege named Export and Print.

  9. Check the Box: Ensure the checkbox next to Export and Print is checked.

  10. Save: Click Save to apply the changes to the role.

Q: How do I verify the fix worked for the specific user?

A: After updating the role, you should impersonate an affected user to confirm they have access.

  1. Navigate back to User Management Users.

  2. Locate the specific user (e.g., the BD Rep) and click the More dropdown.

  3. Click Login as User (or similar option).

  4. Navigate to the Reports module and open any report.

  5. Click the Export button.

  6. Expected Result: You should now see all three options: Export PDF, Export CSV, and Export Excel.

Pro Tips / Extra Help

  • User Refresh: If the user is currently logged in while you update their role, ask them to log out and log back in to ensure the new permissions take immediate effect.
