How to Track BD Rep Activities in Referral Sources with Reports (CRM)

This guide shows you how to create a report that tracks all events logged by BD reps in the Referral Source module. You'll be able to see the number of events per rep or list specific activities associated with referral sources.

Before You Begin

Make sure you have:

  • Access to the Reports module in Dazos CRM

  • Activities that have been logged and associated with Referral Sources

  • BD reps assigned to activities you want to track

Steps

Method 1: Group by Assigned To (Recommended)

  1. Navigate to Reports in the left navigation menu

  2. Click Add Report

  3. Set Primary Module to Activities

  4. In the Group By section, select Assigned To - this will show you events per person (e.g., "Anna had 5 events, Sam 10, Ben 15")


  5. Add Referral Source as a Secondary Module to prevent other objects from pulling into the report

  6. Add filters to refine your results:

    • Task Type - to ensure you're only counting the right activity types

    • Date Range - to focus on a specific time period

    • Any other relevant activity filters

  7. Configure your report columns to show the data you need

  8. Save and run your report

Method 2: Group by Related To Field (Alternative)

  1. Navigate to Reports in the left navigation menu

  2. Click Add Report

  3. Set Primary Module to Activities

  4. In the Group By section, select Related To field - this links activities back to Referral Sources

  5. Add filters to narrow down results:

    • Task Type - to include only relevant activity types

    • Assigned To - to filter by specific BD reps

    • Additional filters as needed

  6. Configure your report columns and save

⚠️ Note: Method 2 might pull in all events in the system grouped by various objects (leads, accounts, referral sources, etc.), so Method 1 is generally preferred for cleaner results.

Expected Result

Your report will show:

  • Method 1: A breakdown of activity counts per BD rep, filtered to show only referral source-related activities

  • Method 2: Activities grouped by the referral sources they're associated with

You can export the results to Excel or CSV for further analysis if needed.

Troubleshooting

Report showing too many activities: Add more specific filters like Task Type or date ranges to narrow down results.

Missing activities: Verify that activities are properly associated with Referral Sources using the "Related To" field.

No data showing: Check that BD reps are assigned to the activities you want to track.
