How to enable my Historical Data Sync (CRM)

This FAQ explains how Historical Data Sync works in Dazos CRM, how to enable it correctly, what to expect after activation, and how to verify it’s functioning as intended for Accounts, Referral Sources, and Referral Contacts.

Q: What is Historical Data Sync in Dazos?

A:
Historical Data Sync allows Dazos to track and populate historical values (such as Sales Stage and Intake Status) for :

  • Accounts

  • Referral Sources

  • Referral Contacts

Once enabled:

  • New records update in real time

  • Older records are updated through a background backfill process


Q: How do I enable Historical Data Sync?

A:

  1. Open your Dazos instance

  2. Go to CRM

  3. Click Settings

  4. Select CRM Settings

  5. From the Summary page, click Data Mapping

  6. Open the first Data Mapping tab (Historical Data Mapping)

  7. Check Enable Historical Data Sync

  8. Click Update Historical Data

⚠️ Do not edit any conditions or actions in this section, as these are system-level configurations.


Q: What does the “Update Historical Data” button do?

A:

  • It triggers a backfill process for existing (older) records

  • The system scans records and updates historical data in batches

  • This process may take:

    • Several hours

    • Overnight

    • A full day or longer, depending on data volume

This behavior is expected and not an error.


Q: Why do some modules update before others?

A:
Historical updates do not happen all at once. It is common to see:

  • Referral Sources update first

  • Accounts and Referral Contacts update later

The system processes records incrementally, so delays between modules are normal.


Q: Will new records update immediately after enabling this?

A:
Yes.
Once Historical Data Sync is enabled:

  • All new records update in real time

  • This is handled by automatically created workflows


Q: Are workflows required for Historical Data Sync to work?

A:
Yes.
When the Enable Historical Data Sync checkbox is selected, the system automatically creates the required workflows.

To verify:

  1. Go to Settings

  2. Click Workflows

  3. Confirm historical data workflows exist and are Active

If the checkbox was previously unchecked, these workflows would not exist.


Q: How long does it take for historical data to fully update?

A:

  • New records: Real time

  • Existing records: Hours to a full day (or longer for large datasets)

The backfill process runs in the background and may continue overnight.


Q: How can I confirm Historical Data Sync is working?

A:

  • Create or update a new Account, Referral Source, or Referral Contact and verify the history updates immediately

  • Check older records after allowing sufficient time for the backfill process to complete

  • Confirm workflows are active under Settings → Workflows


Pro Tips / Extra Help

  • If historical data was just enabled, wait at least 24 hours before assuming there is an issue

  • If new records are not updating in real time, or workflows are missing, contact Support with your instance URL
