How to Set Up Historical Data Sync and iCampaign Integration

This guide covers how to set up Historical Data Sync and configure the iCampaign integration so your CRM can track historical values for accounts and referral sources, and sync all historical records to iCampaign for use in marketing campaigns.

Before You Begin

Ensure you have:

  • Admin access to your Dazos CRM instance

  • Access to CRM Settings and Data Mapping

  • Custom Sales Stages configured (if applicable)

Steps

Step 1: Enable Historical Data Sync

  1. Open your Dazos CRM instance

  2. Go to CRM β†’ Settings β†’ CRM Settings

  3. From the Summary page, click Data Mapping

  4. Open the Historical Data Mapping tab

  5. Check Enable Historical Data Sync

Step 2: Verify Historical Data Workflows

  1. Go to Settings β†’ Workflows

  2. Confirm that historical data workflows exist and are Active

  3. If workflows are missing, return to Step 1 and ensure the checkbox is selected

Step 3: Configure Complex Settings for Custom Sales Stages

If you have custom Sales Stages, you need to configure specific settings in the Historical Data Mapping:

  1. In the Historical Data Mapping section, locate the complex settings

  2. Set the Current Patient Stage for Dead Leads

  3. Set the Current Patient Stage for Pending Admission

  4. Ensure these settings match your custom admission stages

⚠️ Warning: Do not edit conditions or actions in this section, as these are system-level configurations.

Step 4: Update Historical Data for Existing Records

  1. In the Historical Data Mapping screen, click the Update Historical Data button

  2. This triggers a backfill process for existing records

  3. Allow sufficient time for the process to complete (may take several hours to overnight)

Step 5: Sync Data to iCampaign

  1. Once the CRM historical data is accurate and the backfill process is complete, click the Sync Data to iCampaign button

  2. This syncs all historical records to iCampaign for use in marketing campaigns

  3. Wait for the sync process to complete

Verification / Expected Result

After completing these steps, you should see:

  • New records: Update in real time with historical data

  • Existing records: Updated with historical values after the backfill process

  • iCampaign: Contains synced historical records for campaign targeting

Troubleshooting / Common Errors

Historical data not updating:

  • Verify Historical Data Sync is enabled

  • Check that workflows are Active under Settings β†’ Workflows

  • Allow 24 hours for the backfill process before assuming there's an issue

iCampaign sync not working:

  • Ensure the historical data backfill process is complete

  • Verify CRM data accuracy before attempting the sync

Custom Sales Stages not working:

  • Double-check the Current Patient Stage settings for Dead Leads and Pending Admission

  • Ensure the settings match your actual custom admission stages
