Control Which Records Sync to (iCampaign)

You can now decide exactly which records are sent to iCampaign as subscribers, instead of sending every record. For each record type (Leads, Accounts, Referral Sources, Referral Contacts, Donors), you set simple conditions on that type's sync workflow — a

1. Before You Start

You will need:

An administrator login for the CRM.

iCampaign turned on for your CRM (the CRM iCampaign Mapping settings page shows as Active). Enable iCampaign Subscriber Sync switched on (on the same settings page).

Access requirements: Only CRM administrators can open the settings and workflow screens described here.

If you don't see the iCampaign settings page or the Enable iCampaign Subscriber Sync option, iCampaign isn't enabled for your instance yet — contact Dazos support to turn it on.

2. Set the Conditions for a Record Type

Conditions live on each record type's "Send <Type> Subscriber" workflow. This is where you say which records qualify to be synced.

1. From the CRM, go to Settings → Automation → Workflows.

2. Find and open the workflow named for the record type you want to control — for example Send Leads Subscriber, Send Accounts Subscriber, or Send Donors Subscriber.

3. Edit the workflow's Conditions to describe which records should sync (for example, Email is not empty, or Status is Active).

4. Save the workflow.

Tip: You can add several conditions to one workflow. Use All to require every condition to match, or Any to match on at least one.

3. See Which Conditions Are Active

You don't have to open each workflow to remember what's set. The CRM iCampaign Mapping settings page shows a quick, read-only summary.

1. Go to Settings → Configuration → CRM iCampaign Mapping.

2. At the top, read the note and click Show conditions.

3. The panel expands to list every record type and the conditions currently in effect. Record types with no conditions show "all records of this module are synced."

Tip: This panel is read-only — it's a summary. To change any condition, edit that record type's workflow as shown in Section 2.

4. How Your Conditions Are Applied

Once conditions are set, they apply everywhere a record would be sent to iCampaign as a subscriber:

Re-added to iCampaign only if it still matches

Two behaviors are intentionally not filtered by conditions:

Deleting a record always unsubscribes it from iCampaign, whether or not it matched.

Sync Users (syncing your CRM staff/users) is a separate feature and is not affected by these record type conditions.

Important: If a record type has no conditions, it keeps syncing all of its records — this change never reduces what you sync unless you choose to add a condition.

5. Frequently Asked Questions

Q: I added a condition but nothing changed — why? Make sure you saved the workflow, and that Enable iCampaign Subscriber Sync is on. Then open Show conditions on the iCampaign settings page to confirm the condition is listed for that record type.

Q: How do I go back to syncing everything for a record type? Open that record type's Send … Subscriber workflow and remove its conditions. An empty condition list means all records of that type sync.

Q: Does this affect records already in iCampaign? Going forward, only matching records are sent on create/update, bulk sync, historical sync, and restore. Existing subscribers in iCampaign are not removed by adding a condition.

Q: What happens when I delete a record? It is always unsubscribed from iCampaign, regardless of conditions.

Q: I restored a record from the Recycle Bin — will it come back as a subscriber? Only if it still matches the record type's conditions. If it no longer matches, it is not re-added.

Q: Why don't I see conditions for Users? Syncing CRM users/staff is a separate action and doesn't use these per-record-type conditions.

1. On the CRM iCampaign Mapping page, click Show conditions and confirm the record type's conditions are what you expect.

2. Open that record type's Send … Subscriber workflow and re-check its conditions were saved. 3. Contact Dazos support with the details and reference CRM-3357.
