How to sync CRM fields to iCampaign and trigger manual sync for new mappings (iCampaign)

This guide shows you how to map a CRM field to iCampaign and run a manual sync to ensure all existing records are updated with the new field data. This is essential when you need CRM data in iCampaign for workflow conditions or segmentation.

Before You Begin

  • Confirm the field exists and is populated in your CRM module (e.g., Discharge Type in Intake Opportunities)

  • Verify you have the necessary permissions to create fields in iCampaign and run manual syncs

  • Identify which CRM object your iCampaign sync is based on (Accounts, Contacts, Intake Opportunities, etc.)

Steps

  1. Create the custom field in iCampaign

    • In iCampaign, go to Subscribers

    • Click Manage Fields

    • Click Add custom field

    • Create a field with the same name and type as your CRM field (e.g., "Discharge Type")

    • Ensure the data type matches your CRM field

    • Save the field

  2. Map the field from CRM to iCampaign

    • Configure the field mapping in your CRM integration settings

    • Ensure the CRM field is properly mapped to the new iCampaign field

  3. Run a manual sync to update existing records

    • Navigate to your sync settings in the CRM

    • Select Account Records (or the appropriate object your iCampaign sync uses)

    • Choose the All Records option under action

    • Click Sync to Start the manual sync

  4. Wait for sync completion

    • Allow 30 minutes to 2 hours for the sync to complete, depending on queue load

    • The sync processes existing records in batches

Verification / Expected Result

After the manual sync completes:

  • Check a few known records in iCampaign to confirm the new field is populated

  • The field data should now appear on subscriber records

  • You can use the field in workflow conditions and segmentation

  • Re-apply any workflow filters to see updated results

Troubleshooting / Common Errors

Only some records are syncing: This usually means only those records had data in the CRM field when they were originally synced. The manual sync should resolve this.

Field not appearing: Verify the field names match exactly between CRM and iCampaign, and confirm the mapping was saved correctly.

Sync taking longer than expected: Large datasets or high queue load can extend sync time. This is normal behavior.

Important Notes

⚠️ Manual sync is required: When you map a new field, existing records will not automatically backfill with the new data. You must run the manual sync to update all historical records.
