Understanding KIPU Outbound Referral Creation: Timing and Discharge Lock Behavior (CRM)

Overview This article explains how KIPU's 'Discharging To' field creates outbound referrals in Dazos, including sync timing and how discharge locks can affect the process.

How KIPU Outbound Referrals Work

When staff complete KIPU's 'Discharge/Transition To' field, it automatically triggers the creation of an outbound referral record in Dazos CRM. This process is not instantaneous — Dazos pulls updates from KIPU on a scheduled basis at least once every hour.


Sync Timing Process

  1. Staff complete the 'Discharging To' field in KIPU

  2. Dazos waits for the next hourly sync window

  3. The outbound referral appears in Dazos after the sync completes

⚠️ Important: If the field is filled right before a sync runs, the referral may not appear until the following sync cycle.


Discharge Lock Behavior

When a patient is discharged in KIPU, their record may become 'Patient Discharged: EMR Updates Locked' in Dazos. This lock prevents the integration from pulling
updates, which can stop outbound referrals from being created.


Why Discharge Locks Occur

Discharge locks typically happen when the Chart Update webhook is missing or inactive in KIPU. The integration requires two active webhooks:

  • Patient Creation webhook — for new patient records

  • Chart Update webhook — for ongoing patient status and data changes


Resolving Locked Records

If a locked record is preventing outbound referral creation:

  1. Navigate to the affected Intake Opportunity

  2. Locate the 'Unlock EMR Updates' link in the Linked EMR Record section

  3. Click the link to allow updates to continue

  4. Wait for the next sync cycle to process the outbound referral


💡 Tip: Once unlocked, the record should stay synchronized going forward, assuming both required webhooks are properly configured in KIPU.

Best Practice: Complete the 'Discharging To' field before the patient is fully discharged when possible.

Best Practice: Ensure both Patient Creation and Chart Update webhooks are active in KIPU at all times.

Best Practice: Monitor for 'Patient Discharged: EMR Updates Locked' status regularly and unlock affected records promptly.

💡 Tip: Allow at least one hour for outbound referrals to appear in Dazos after completing the discharge field in KIPU.
