How to Set Up Hotmail (Outlook.com) as Your Outgoing Mail Server (SMTP) (CRM)

Step-by-step instructions for configuring a Hotmail or Outlook.com account as your outgoing SMTP mail server in the Dazos CRM.

Overview

This guide walks you through how to configure a personal Hotmail, Outlook.com, or Live.com account as the outgoing mail server in Dazos so that emails sent from the platform are delivered from your Microsoft personal email address.

⚠️ Note: This guide is for personal Microsoft accounts only (Hotmail.com, Outlook.com, Live.com). For Microsoft 365 business accounts, refer to the Office365 SMTP setup guide.

Before You Begin

  • You must have an active Hotmail, Outlook.com, or Live.com account.

  • POP/IMAP access must be enabled in your Outlook.com settings before SMTP will work — this is Step 1 below.

  • If your account has two-step verification enabled, you will need to generate an App Password. Your regular Microsoft password cannot be used for SMTP when two-step verification is on.


Steps

Step 1 – Enable POP and IMAP Access in Outlook.com

Microsoft ties SMTP access to POP/IMAP settings. This step is required before SMTP will work.

  1. Sign in at outlook.live.com.

  2. Click the gear icon (Settings) in the top-right corner.

  3. Click View all Outlook settings at the bottom of the panel.

  4. Go to Mail > Sync email.

  5. Under POP and IMAP, turn on Let devices and apps use POP.

  6. Click Save.

Step 2 – Check Whether Two-Step Verification is Enabled

  1. Go to account.microsoft.com/security and sign in.

  2. Click Advanced security options.

  3. If Two-step verification shows On, proceed to Step 3 to generate an App Password.

  4. If it shows Off, you can use your regular Microsoft account password in Dazos — skip to Step 4.

Step 3 – Generate a Microsoft App Password (If Two-Step Verification is On)

  1. Go to account.microsoft.com/security and sign in.

  2. Click Advanced security options.

  3. Scroll to the App passwords section and click Create a new app password.

  4. Microsoft will generate a password and display it on screen. Copy it immediately — it will not be shown again.

Step 4 – Navigate to Outgoing Server Settings in Dazos

  1. Log in to your Dazos CRM.

  2. Click Settings in the main navigation.

  3. Click CRM Settings.

  4. Click Configuration.

  5. Select Outgoing Server.

Step 5 – Enter Your Hotmail SMTP Details

Fill in the Mail Server Settings (SMTP) form as follows:

  • Server Type: Hotmail

  • Server Name: smtp-mail.outlook.com

  • User Name: Your full email address (e.g., [email protected] or [email protected])

  • Password: Your App Password from Step 3 — or your regular Microsoft password if two-step verification is off

  • From Email: Your full email address — must match the User Name field

Step 6 – Save

Click Save to apply your settings.


Verification / Expected Result

Trigger a test email in Dazos. Confirm the email arrives in the recipient's inbox and shows your Hotmail or Outlook address as the sender.

Troubleshooting / Common Errors

  • SMTP not working even with correct password: POP/IMAP access must be enabled (Step 1). SMTP is blocked by Microsoft until this is turned on.

  • App passwords option not available: The App passwords section only appears when two-step verification is enabled. Turn that on first in Advanced security options.

  • Authentication rejected: When two-step verification is on, regular passwords are blocked for SMTP. Use the App Password generated in Step 3.

  • Port 587 blocked: Contact your IT team to allow outbound traffic on port 587.
