How to Set Up Gmail as Your Outgoing Mail Server (SMTP) (CRM)

Step-by-step instructions for configuring Gmail SMTP as your outgoing mail server in the Dazos CRM.

Overview

This guide walks you through how to configure Gmail as the outgoing mail server in Dazos so that emails sent from the platform are delivered from your Gmail address instead of the default [email protected].

Before You Begin

  • You must have an active Gmail or Google Workspace account.

  • Google requires 2-Step Verification to be enabled before you can generate an App Password. Your regular Gmail password cannot be used for SMTP.

  • Google Workspace (business) users may also need their admin to configure SMTP relay — see Step 3.


Steps

Step 1 – Enable 2-Step Verification in Google

  1. Go to myaccount.google.com and click Security in the left menu.

  2. Under "How you sign in to Google", find 2-Step Verification.

  3. If it shows Off, click it and follow the prompts to turn it on.

  4. If it already shows On, proceed to Step 2.

Step 2 – Generate a Google App Password

  1. Go to myaccount.google.com and click Security.

  2. Click 2-Step Verification, then scroll to the bottom and click App passwords.

  3. Sign in again if prompted.

  4. Under "Select app", choose Mail. Under "Select device", choose Other (Custom name) and type Dazos.

  5. Click Generate. Google will display a 16-character password in a yellow box.

  6. Copy this password immediately — it will not be shown again.

⚠️ Important: When entering this password in Dazos, remove all spaces. The App Password is 16 characters with no spaces even though Google displays it in groups of 4.

Step 3 – Google Workspace Accounts Only (Admin Step)

If you use a Google Workspace business account, your admin must enable SMTP relay before this will work.

  1. Admin signs in to admin.google.com.

  2. Go to Apps > Google Workspace > Gmail > Routing.

  3. Under SMTP relay service, click Configure and add a rule allowing your domain to send via SMTP relay. Save the changes.

💡 Tip: Personal Gmail accounts (@gmail.com) do not need this step — App Passwords are sufficient.

Step 4 – Navigate to Outgoing Server Settings in Dazos

  1. Log in to your Dazos CRM.

  2. Click Settings in the main navigation.

  3. Click CRM Settings.

  4. Click Configuration.

  5. Select Outgoing Server.

Step 5 – Enter Your Gmail SMTP Details

Fill in the Mail Server Settings (SMTP) form as follows:

  • Server Type: Gmail

  • Server Name: smtp.gmail.com

  • User Name: Your full Gmail address (e.g., [email protected])

  • Password: The 16-character App Password from Step 2 (no spaces)

  • From Email: Your full Gmail address — must match the User Name field

Step 6 – Save

Click Save to apply your settings.


Verification / Expected Result

Trigger a test email or workflow in Dazos. Check the recipient's inbox to confirm the email was delivered and shows your Gmail address as the sender. Also check the spam folder if the email does not appear in the inbox.

Troubleshooting / Common Errors

  • App passwords option not visible: 2-Step Verification must be fully enabled before the App passwords option appears. Complete Step 1 first.

  • Authentication error in Dazos: Confirm you entered the App Password with no spaces. Also confirm it is the App Password and not your regular Gmail password.

  • Google Workspace emails not sending: Your admin needs to configure the SMTP relay service in the Google Admin Console (Step 3).

  • Emails landing in spam: This is a deliverability issue. Consider setting up custom domain verification (SPF/DKIM) — refer to the Custom Domain Email Setup – Domain Verification Process article.
