How to Set Up Office365 as Your Outgoing Mail Server (SMTP) (CRM)

Step-by-step instructions for configuring Microsoft Office365 as your outgoing SMTP mail server in the Dazos CRM.

Overview

This guide walks you through how to configure a Microsoft 365 / Office365 account as the outgoing mail server in Dazos so that emails sent from the platform are delivered from your organization's Microsoft 365 email address.

⚠️ Note: Some steps below require your Microsoft 365 administrator. If you do not have admin access, share this article with your IT team before proceeding.

Before You Begin

  • You must have an active Microsoft 365 / Office365 account with an assigned Exchange Online mailbox.

  • Your Microsoft 365 admin must enable Authenticated SMTP (SMTP AUTH) for the account β€” this is disabled by default and is required before anything else will work.

  • If MFA (Multi-Factor Authentication) is enforced on your account, you will need to generate an App Password. Your regular M365 password cannot be used for SMTP when MFA is active.


Steps

Step 1 – Enable SMTP AUTH for the Account (Admin Required)

This step must be completed by your Microsoft 365 administrator. It can take up to 60 minutes to take effect after saving.

  1. Admin signs in to admin.microsoft.com.

  2. Go to Users > Active users and click the user account.

  3. Click the Mail tab, then click Manage email apps.

  4. Check the box next to Authenticated SMTP and click Save changes.

πŸ’‘ Tip: Accounts without an Exchange Online license or shared mailboxes may not support SMTP AUTH. Confirm the account has an active mailbox in the Mail tab.

Step 2 – Check Whether MFA is Enabled on Your Account

  1. Go to mysignins.microsoft.com and sign in.

  2. Click Security info in the left menu.

  3. If authentication methods are listed (Authenticator app, phone, etc.), MFA is active β€” proceed to Step 3.

  4. If no methods are listed, MFA is off β€” use your regular Microsoft 365 password in Dazos and skip to Step 4.

Step 3 – Generate an App Password (If MFA is Enabled)

  1. Go to mysignins.microsoft.com and sign in.

  2. Click Security info, then click + Add method.

  3. Select App password, name it Dazos, and click Next.

  4. Microsoft displays the generated App Password. Copy it immediately β€” it will not be shown again. Click Done.

⚠️ Note: If App password is not listed as an option, your organization has disabled it. Your admin can review this under Azure Active Directory > Security > Authentication methods.

Step 4 – Navigate to Outgoing Server Settings in Dazos

  1. Log in to your Dazos CRM.

  2. Click Settings in the main navigation.

  3. Click CRM Settings.

  4. Click Configuration.

  5. Select Outgoing Server.

Step 5 – Enter Your Office365 SMTP Details

Fill in the Mail Server Settings (SMTP) form as follows:

  • Server Type: Office365

  • Server Name: smtp.office365.com

  • User Name: Your full Microsoft 365 email address (e.g., [email protected])

  • Password: Your App Password from Step 3 β€” or your regular M365 password if MFA is not enabled

  • From Email: Your full Microsoft 365 email address β€” must match the User Name field

Step 6 – Save

Click Save to apply your settings.


Verification / Expected Result

Trigger a test email in Dazos. Confirm the email is delivered from your Microsoft 365 address and appears correctly in the recipient's inbox.

Troubleshooting / Common Errors

  • Authentication failed even with correct credentials: SMTP AUTH is most likely not enabled. Your admin must complete Step 1. Allow up to 60 minutes after saving for the change to take effect.

  • App password option not available: Your organization has App Passwords disabled. Your admin can check this under Azure Active Directory security settings.

  • Send-as error: The From Email must exactly match the account in the User Name field, unless your admin has granted Send As permissions for another address in Exchange.

  • Stops working after a period of time: If the account password or MFA settings change, the App Password is invalidated. Generate a new one and update Dazos.
