Troubleshooting Treatment Program Visibility and Access Issues in Multi-Entity Instances

This guide helps resolve treatment program visibility issues in shared Dazos instances where multiple entities need complete data separation, such as when users see incorrect treatment programs or encounter access errors.

Common Symptoms

  • Users seeing treatment programs from other entities (e.g., Ascension users seeing WisePath data)

  • List views show the same opportunities regardless of which view is selected

  • Missing opportunities or incorrect record counts

  • "Access Denied" errors when clicking on specific list views

  • Cross-contamination of data between separate entities

Root Causes

These visibility issues typically occur due to:

  • Incorrect Treatment Program mapping for individual users

  • Missing or misconfigured entity separation settings

  • Browser cache issues are preventing proper list view refresh

  • Permission restrictions that are either too broad or too narrow

Solution Steps

1. Check Treatment Program Mapping

Verify that each user is mapped to only the treatment programs they should access:

  1. Review the user's Treatment Program assignments in the system

  2. Ensure no unauthorized programs are included in their mapping

  3. Remove access to any programs belonging to other entities

2. Configure Entity Separation Settings

For complete data separation between entities:

  1. Verify entity-specific permission configurations

  2. Ensure treatment program access is restricted to authorized records only

  3. Test by searching for opportunities across unauthorized treatment programs to confirm restrictions work

3. Refresh List Views and Clear Cache

If list views are not updating correctly:

  1. Log out of Dazos completely

  2. Clear browser cookies and cache

  3. Log back in and test the affected list views

4. Adjust List View Permissions

If specific list views show "Access Denied" errors:

  1. Review permissions for the affected list views

  2. Update access settings as needed

  3. Test each list view individually to confirm proper access

Verification

After implementing the fix:

  • Users should only see treatment programs from their authorized entity

  • Each list view should display unique, entity-specific opportunities

  • No "Access Denied" errors should occur when accessing permitted views

  • Cross-entity data contamination should be eliminated

When to Contact Support

Contact Dazos Support if:

  • Permission adjustments don't resolve the visibility issues

  • Data discrepancies persist between Dazos and external systems

  • Access errors continue after cache clearing and permission updates

  • You need assistance with complex multi-entity permission mapping
