How to Fix Workflow Triggers Not Firing from Last Call and Last Comment Field Updates For Urgency Tier Scenarios (CRM)

Overview

If your workflows aren't triggering when the Last Call or Last Comment fields are updated, this guide will help you configure them to respond properly to these changes.

Before You Begin

  • You must have workflow creation permissions in Dazos

  • Access to the Comments module

  • Understanding of your current workflow conditions

Root Cause

Workflows may not trigger from Last Call and Last Comment field updates because the system logic requires the Intake Opportunity specifically to be updated to fire those alerts. Direct field updates to Last Call or Last Comment may not automatically trigger existing workflows.

Solution Steps

Step 1: Create a New Workflow from Comments Module

  1. Navigate to the Comments module in Dazos

  2. Create a new workflow that triggers based on comment activity

  3. Configure the workflow to respond to Last Comment field changes

  4. Test the workflow to ensure it triggers correctly

Step 2: Configure Intake Opportunity Update Workflow

  1. Create an additional workflow that automatically updates the Intake Opportunity when a "Last Call" is logged

  2. Set the trigger conditions to include:

    • Last Call Time (less than 1 day ago or when changed)

    • When a Comment is added

  3. Ensure this workflow updates the Intake Opportunity record

Step 3: Refine Tier and Color Workflow Logic

  1. Update your existing tier workflows to include the new trigger conditions

  2. Configure triggers for:

    • Tier One - Green workflow

    • Tier Two - Green Under 4 hours - On Track

    • Tier Three - Green Under 24 hours

  3. Ensure the Urgency Level field updates correctly (e.g., resets to "Green On Track")

Expected Result

After implementing these changes:

  • Your tier and color workflows will trigger correctly when Last Call or Last Comment fields are updated

  • The Urgency Level and Color fields will update automatically based on your team's call and note activity

  • Time-based tiers will remain in sync regardless of which module your team is working in

Verification

To verify the solution is working:

  1. Create or use a test record

  2. Add a comment or log a call

  3. Check that the appropriate tier workflow triggers

  4. Confirm that the Urgency Level and Color fields update as expected

Troubleshooting

Issue: Workflows still not triggering after configuration

Solution: Ensure that your workflow trigger conditions specifically include updates to the Intake Opportunity record, not just the field changes themselves.

Issue: Some tiers work but others don't

Solution: Review each tier workflow individually to ensure all have the updated trigger logic that includes Last Call Time and Comment additions.
