Understanding Webhook Limitations and Zapier Integration for Stage Change Automation (CRM)

Overview: Dazos webhooks are inbound-only and do not support stage change triggers. This article explains current webhook limitations, revenue data flow between IQ and CRM, and how to use Zapier for stage change automation.

Webhook Capabilities and Limitations

What Webhooks Can Do:

  • Create new Leads, Accounts, and Intake Opportunities

  • Create new Referral Sources, PAAs, VOBs, Transactions, and Call Logs

What Webhooks Cannot Do:

  • Trigger on Lead → Potential or Potential → Admission stage changes

  • Update existing CRM records

  • Export data when opportunity stages change

⚠️ Note: Dazos webhooks support inbound data creation only — they cannot trigger on or respond to stage changes.


Revenue Data Flow Between IQ and CRM

Revenue data does not currently flow from IQ to the CRM. This is planned for a future update.

  • IQ Marketing Reports is the source of truth for campaign attribution and revenue analysis

  • CRM tracks admissions and pipeline stages, but not revenue amounts

  • Revenue attribution to specific campaigns is handled within IQ reporting, not CRM fields

Payments vs. Revenue

The Transactions module syncs payments between CRM and IQ, but this is different from revenue attribution:

  • Payments made in CRM post to IQ

  • Payments made in IQ Patient Collections post to CRM

⚠️ Note: This payment sync is not the same as IQ revenue flowing into CRM revenue fields.


Recommended Solution: Zapier Integration

For stage-change automation, use Zapier triggers instead of webhooks.


Available Zapier Triggers:

  • Opportunity Admitted — triggers when an opportunity reaches admission status

  • Opportunity Created — triggers when a new opportunity is created

  • Lead Updated — triggers when lead information changes

How to Set Up Zapier Automation

  1. In Zapier, create a new Zap and search for "Dazos" as the trigger app.

  2. Choose your desired trigger event (e.g., "Opportunity Admitted").

  3. Configure your action steps to send data to your target destination.

  4. Map the available fields from the Zapier trigger payload to your action requirements.

Tips & Notes

💡 Best Practice: For complex stage-change automation, Zapier triggers provide more reliable event detection than API polling or webhook workarounds.


⚠️ Important: Handle revenue attribution in IQ Marketing Reports, not through CRM field mapping, until the IQ-to-CRM revenue flow feature is released.


Future Update: IQ revenue flowing to CRM is planned for a future release, enabling revenue tracking directly within CRM reports and fields.
