How to Build Referral Source Activity Reports with Time-Based Criteria (CRM)

This guide explains how to create custom referral source reports that track referral activity within specific time periods.

Before You Begin

  • You must have access to the Reports module in Dazos CRM

  • Ensure you understand the difference between "Created Time" filtering (when the intake opportunity was created) vs. other date fields

  • Consider which Business Development Rep assignments you want to track

Steps

1. Create a New Report

Navigate to Reports → Add Report to begin building your custom referral source activity report.

2. Set Primary Module to Referral Sources

Set the Primary Module to "Referral Sources". This ensures each row in your report represents a referral source record.

3. Link Related Modules

Add the following related modules to access intake and referral data:

  • Intake Opportunities - to track referral activity

  • Leads - to capture additional referral sources

4. Configure Criteria for Time-Based Filtering

For referral sources active within the last 6 months:

  • Set "Referral Source is not empty"

  • Set "Created Time is less than 180 days ago"

For referral sources that referred historically but NOT within the last 6 months:

  • Set "Referral Source is not empty"

  • Set "Created Time is greater than 180 days ago"

5. Select Report Columns

Include the following columns for comprehensive referral source tracking:

  • BD Rep (Assigned To field)

  • Referral Source (name of the referring source)

  • Intake Opportunity (linked opportunity record)

  • Outcome (status such as Admitted, Unqualified, Deal Lost)

  • Created Time (when the referral was received)

6. Group by Business Development Rep

Set "Group By" to "Assigned To" field. This allows you to filter results by specific BD Reps and organize the data by rep assignment.

7. Save and Generate Report

Click "Save & Generate Report" to create your custom referral source activity report.


Verification / Expected Result

After generating your report, you should see:

  • Referral source data organized by the time criteria you selected (last 6 months vs. historical)

  • Records grouped by BD Rep for easy filtering and analysis

  • Comprehensive data including source names, outcomes, and timing

  • The ability to use the "Show Graph" option for visual presentation

  • Presentation Mode: Use the "Show Graph" option when presenting these reports to your team

  • Date Flexibility: Adjust the "180 days ago" criteria to different timeframes (90 days, 1 year, etc.) based on your needs

  • BD Rep Filtering: The grouping by "Assigned To" makes it easy to filter for specific BD Rep performance

Troubleshooting / Common Errors

⚠️ Report Times Out: If your report generates a 504 Gateway Timeout error, the dataset may be too large. Try adding more specific filters or contact support for assistance.

⚠️ Missing Referral Data: Ensure that "Referral Source is not empty" is included in your criteria to filter out records without referral information.

⚠️ BD Rep Not Appearing: Verify that the "Assigned To" field is properly populated on your referral source records.
