How to Use Universal Search: Configuring Modules and Troubleshooting Full Name Searches (CRM)

The universal search bar in Dazos CRM supports searching across multiple modules and various search methods. Here's how it works and how to fix common issues.

Before You Begin

  • Ensure you have access to the universal search bar in your Dazos CRM instance

  • Note that the search configuration may require administrative permissions

Steps

Understanding Universal Search Configuration

  1. The universal search bar can be configured to default to different modules

  2. Common configurations include:

    • Account search (searches for client/patient accounts)

    • Intake opportunities search

    • Other CRM modules as needed

  3. Contact your administrator or Dazos support to change the default search module

Using the Universal Search Bar

  1. Click on the universal search bar at the top of your CRM interface

  2. Begin typing your search query - there is no minimum character requirement

  3. Dazos supports partial matches (e.g., typing 'Fer' returns 'Fernando', 'Fernandez', or 'Jennifer')

  4. As you type, a predictive dropdown will appear with matching results

Working Around Full Name Search Issues

There is a known issue where pressing Enter after typing a full name (first + last name) may not return results, even when the record exists.

Workaround Options:

  1. Use the Predictive Dropdown (Recommended):

    • Type the full name (e.g., "Nick Gabriele")

    • Wait for the predictive search dropdown to load

    • Click directly on the matching result from the dropdown

  2. Search by Last Name Only:

    • Type only the last name (e.g., "Gabriele")

    • Press Enter or use the dropdown - this typically works correctly

  3. Use Single Name Components:

    • Search using either the first name or the last name individually

    • This avoids the full name search issue


Verification / Expected Result

After using the workarounds:

  • The predictive dropdown should display matching records as you type

  • Clicking on the dropdown results should navigate you to the correct record

  • Single name searches (last name only) should work when pressing Enter

Troubleshooting / Common Errors

No results when pressing Enter with full names:

  • This is a known issue - use the predictive dropdown instead

  • Try searching with last name only

Search defaulting to the wrong module:

  • Contact your administrator to reconfigure the default search module

  • The search can be set to prioritize accounts over intake opportunities

Predictive dropdown not appearing:

  • Wait a few seconds after typing - the dropdown may take time to load

  • Ensure you have proper permissions to view the records
