Before You Begin
You must have workflow creation permissions in your Dazos CRM
Ensure your opportunities have referral sources assigned (but are missing BD rep assignments)
Verify that referral sources have owners assigned to them
Consider excluding certain referral source types like 'Readmit' or 'Internet Search' from this process
Steps
Navigate to Workflows: Go to your CRM settings and access the Workflows section.
Create New Workflow: Click "Add Workflow" button to create a new workflow.
Set Target Module: Select "Intake Opportunities" as the module this workflow will target.
Configure Workflow Conditions: Set up the following conditions in the "All" section (these must all be true):
Referral Source field "is not empty"
Set Workflow Actions: In the actions section, configure:
Field to update: "BD Rep"
Value source: Select the option to pull from a related field
Related field: "Referral Source Assigned To"
Save and Activate: Save your workflow configuration and activate it.
Run Bulk Update (if needed): If you need to update existing records immediately, you may need to use the Time Interval trigger method to process all matching records at once, then change back to the normal trigger.
Verification / Expected Result
After running the workflow, you should see:
Opportunities with assigned referral sources now have BD reps assigned
The BD rep matches the owner of the referral source
Opportunities with "Readmit" or "Internet Search" referral sources remain unaffected
Future opportunities that match the criteria will automatically get BD rep assignments
Troubleshooting / Common Errors
No Updates Occurring: Verify that your workflow conditions correctly identify opportunities without BD reps but with valid referral sources.
Wrong BD Rep Assigned: Check that the referral sources have the correct owners assigned before running the workflow.
Excluded Sources Still Getting Updated: Double-check that your exclusion conditions for "Readmit" and "Internet Search" are properly configured.
