Why CallRail leads don't appear in the Leads module (CRM)

Overview If you're expecting to see CallRail leads in your Leads module but can't find them, they may have already been converted to Accounts by your team members. Once a lead is converted to an Account, it no longer appears in the Leads view.

Before You Begin

  • Ensure you have access to both the Leads and Accounts modules

  • Have the caller's phone number or name ready for searching

  • Confirm the approximate date/time the call was received

Steps to Locate Your CallRail Records

  1. Check the Accounts module first

    Navigate to your Accounts module and search for the caller using their name or phone number.

  2. Search by phone number

    If searching by phone number doesn't return results, try searching by the caller's name instead. Phone numbers may be updated by EHR integration after the initial lead creation.

  3. Review recent Account activity

    Look for recently created Account records that match your expected timeline for the CallRail activity.

  4. Check conversion history

    If you find the Account, you can verify it was originally a CallRail lead by checking the Account's activity history or notes.

Expected Result

You should find the CallRail contact as an active Account record rather than in the Leads module. The Account will contain all the original lead information plus any additional data added during the conversion process.


Common Issues and Solutions

  • Can't find by phone number: The EHR integration may have updated the phone number after lead creation. Try searching by name instead.

  • Still can't locate the record: Contact support with the specific CallRail event details (phone number, date/time, caller name) for assistance.

Important Notes

๐Ÿ’ก Tip: CallRail integration creates leads automatically, but once your team converts them to Accounts, they move out of the Leads module. This is normal system behavior.
