Understanding Historical Data Sync Limitations for Alumni Records in (iCampaign)

This article explains why Alumni records from your CRM don't automatically sync to iCampaign as subscribers and provides workarounds to get Alumni into your iCampaign subscriber list.

Historical Data Sync Coverage

The Historical Data Sync feature only covers three specific modules from your CRM:

  • Accounts

  • Referral Sources

  • Referral Contacts

Alumni records are not included in the Historical Data Sync, which is why they don't automatically appear as subscribers in iCampaign.

Why Alumni Don't Sync Automatically

Even though your CRM may contain hundreds of Alumni records with email addresses, these won't automatically become iCampaign subscribers because Alumni falls outside the scope of Historical Data Sync. This is by design, not a setting that can be corrected.

Workarounds to Add Alumni as Subscribers

To get Alumni records into iCampaign as subscribers, you have two options:

Option 1: Manual Addition

  • Add Alumni one by one as subscribers directly in iCampaign

  • Navigate to Subscribers in iCampaign and use the manual add function

Option 2: CSV Bulk Import (Recommended)

  1. Export your Alumni records from the CRM with at minimum: Email, First Name, Last Name

  2. In iCampaign (desktop), go to Subscribers

  3. Click Import

  4. Upload your CSV file

  5. After import completes, Alumni will be available as subscribers

Ongoing Process for New Alumni

New Alumni patients won't automatically sync to iCampaign in the future. You'll need to establish a process to:

  • Manually add new Alumni as subscribers in iCampaign, or

  • Periodically export and import new Alumni via CSV

Creating Alumni Segments

Once Alumni are in iCampaign as subscribers, you can target them effectively:

  1. Go to SubscribersSegmentsNew Segment

  2. Create conditions using subscriber fields like tags (e.g., "Alumni") or other custom fields

  3. Use this segment as your audience for Alumni email campaigns

⚠️ Note: Segments can only match existing subscribers. If no subscribers meet your Alumni criteria yet, the segment will show "no subscribers matched" until you import your Alumni records first.
