Why New Intake Opportunities Show as 'Discharged' Status Unexpectedly (CRM)

This guide helps resolve issues where newly created intake opportunities automatically show as 'Discharged' status even though the patient hasn't been admitted or discharged.

Symptom/Error

When creating a new intake opportunity:

  • The opportunity automatically shows as 'Discharged' in the pipeline stage

  • The patient hasn't actually been admitted or discharged

  • This occurs immediately after creating the opportunity

Cause

This happens when specific fields are populated that trigger the CRM's automatic stage progression:

  • Admitted Status field is set to any 'Discharged' value (such as 'Discharged: Unknown')

  • Unqualified Reason field is filled out with any value

When both of these conditions are met, the CRM automatically moves the visual pipeline to the 'Discharged' stage, regardless of the patient's actual status.

Solution

To fix this issue, follow these steps:

  1. Open the affected intake opportunity

  2. Clear the Admitted Status field (remove any 'Discharged' values)

  3. Clear the Unqualified Reason field (remove any populated values)

  4. Reset the Sales Stage back to its appropriate active step

  5. Save the opportunity

Expected Result: The opportunity will now display in the correct pipeline stage and no longer show as 'Discharged'.

Prevention

⚠️ Important: When creating new intake opportunities, avoid filling out the Admitted Status and Unqualified Reason fields unless the patient has actually been discharged.

💡 Tip: These fields should only be populated when a patient is genuinely being moved to a discharged status in your workflow.
