Troubleshooting Workflow Emails Blocked by Email Server (CRM)

This guide helps resolve issues where workflow emails appear to be triggering correctly but recipients aren't receiving them due to email server blocks.

Troubleshooting Workflow Emails Blocked by Email Server

Symptom/Error

You'll experience these symptoms:

  • Workflows are triggering and showing as successful in the system

  • Email logs show 'Rejected' status for certain recipient addresses

  • Recipients report they are not receiving expected workflow emails

  • The workflow itself appears to be functioning properly

Cause

This occurs when Dazos's email service provider has temporarily flagged the recipient address due to previous delivery failures. The email server blocks messages sent to these addresses, causing them to be rejected even though the workflow executes correctly.

Solution

Follow these steps to resolve the email blocking issue:

  1. Identify the blocked address: Check your workflow logs to confirm which specific email address is showing 'Rejected' status

  2. Contact Dazos Support: Report the blocked email address to our support team

  3. Request whitelisting: Our team will whitelist the blocked address in the Dazos system

  4. Test delivery: After whitelisting, test the workflow with a sample record to confirm emails are now being delivered successfully

  5. Monitor logs: Check that the email status has changed from 'Rejected' to 'Delivered' in your workflow logs

Verification

After the address has been whitelisted, you should see:

  • Email status showing as 'Delivered' in workflow logs

  • Recipients confirming they are receiving the workflow emails

  • No more 'Rejected' statuses for the previously blocked address

💡 Tip: Once an address is whitelisted, it should continue to receive emails without issues going forward.

When to Contact Support

Contact Dazos Support immediately if:

  • You identify workflow emails showing 'Rejected' status in logs

  • Recipients report that they stopped receiving workflow emails suddenly

  • Multiple email addresses appear to be blocked

  • The issue persists after whitelisting

When contacting support, provide:

  • The specific email addresses that are blocked

  • Examples of affected workflows

  • Screenshots of workflow logs showing 'Rejected' status
