1. Introduction
This feature brings the patient's Care Team information from Kipu directly into the CRM. Previously, you had to log in to Kipu to see who was treating a patient. Now, once the feature is enabled, each Opportunity displays a Care Team block showing the assigned Therapist, Nurse, Physician, and Case Manager - along with the date each was assigned. The information is pulled automatically from Kipu on the regular sync.
2. Who Can Use This
• Administrators: turn the feature on or off and customize the field mapping.
• Admissions, Clinical, and Marketing staff: view the Care Team information on each Opportunity.
Tip: Only an administrator can enable the feature. Once enabled, all users with access to the Opportunity can see the Care Team block (subject to their permissions).
3. What the Care Team Block Shows
After the feature is enabled, every Opportunity displays a new block named "Care Team" containing eight fields - a name and an assignment date for each of the four roles:
• Care Team Therapist - Care Team Therapist Assign Date
• Care Team Nurse - Care Team Nurse Assign Date
• Care Team Physician - Care Team Physician Assign Date
• Care Team Case Manager - Care Team Case Manager Assign Date
If a role is not assigned in Kipu, that field is simply left blank. If a person is assigned but no date is recorded, the name shows and the date stays empty.
4. Enabling Care Team Pull
1. Go to Settings, then Integrations, then Kipu.
2. Find the toggle labelled "Enable Care Team Pull". It is located in the EMR Setting page for KIPU. 3. Switch the toggle ON and confirm the prompt.
4. Wait for the success message. The system automatically sets up the Care Team block and its fields - you do not need to create anything manually.
5. Open any Opportunity to confirm the new Care Team block is present with non-editable fields.
Tip: You only need to enable the feature once. The setup is automatic, and turning it on again later will not create duplicate fields or blocks.
5. Viewing Care Team Information
6. Open any Opportunity record.
7. Scroll to the "Care Team" block.
8. Review the assigned Therapist, Nurse, Physician, and Case Manager, along with each assignment date.
The fields are filled automatically during the regular Kipu sync (hourly by default). If a patient's care team changes in Kipu, the next sync updates the Opportunity.
After Cron Sync value has been update in Intake Opportunity.
Tip: If a field is blank, it usually means that role is not yet assigned in Kipu, or the next sync has not run. Newly assigned members appear after the following sync.
6. Customizing Field Mapping (Optional)
By default, each Kipu care team field is mapped to the matching CRM field, so no setup is required. If you need to change which Kipu field feeds which CRM field, you can adjust the mapping:
9. Open EMR Mapping for your Kipu account.
10. Select the "Care Team" tab, which lists the pre-filled default mappings.
11. Adjust a mapping as needed and save.
12. On the next sync, data is filled according to your updated mapping.
Tip: If you run more than one Kipu account, default mappings are created for each account that exists at the time you enable the feature. A Kipu account added afterward will need its mappings added (by re-enabling the feature or adding them manually).
7. Turning the Feature Off
Turning the feature off is safe and non-destructive.
13. Go to Settings, then Integrations, then Kipu.
14. Switch the "Enable Care Team Pull" toggle OFF.
When the feature is off, the system simply stops pulling new Care Team data. The Care Team block, the fields, your mappings, and any data already pulled all remain in place. If you turn the feature back on later, syncing resumes with no loss of information.
8. Things to Keep in Mind
• The setting applies to your facility only - enabling it for one facility does not affect any other. • The feature works the same on both InsightsTx and AllevaCRM.
• It supports both Kipu V3 and V4; the correct source is chosen automatically based on your Kipu version setting. • If Kipu is temporarily unavailable during a sync, the issue is logged and the rest of the sync continues normally.
