Changes to Summarized Pivot Table (CRM)

Pivot reports now support up to five independent Column Group blocks, each with its own grouping and calculation field. Each group displays as a separate column section with a header, a pinned TOTAL row, and interactive drill-down on every data cell.

Note: This feature applies to Summary Reports only. It is configured in Step 4 (Chart & Report Design) when the Pivot Table chart type is selected.

Accessing the Reports Module

1. Log in to the CRM using your credentials.

2. Click the Reports module from the top navigation bar or the app menu.

3. The Reports list view opens, showing all reports grouped by folder.

3. Creating a New Summary Report

Step 1 — Report Details

4. Click Create Report at the top of the Reports list.

5. On the wizard, choose Summary Report (also called Chart & Detail Report).

6. Enter a descriptive Report Name.

7. Select the Primary Module (e.g., Contacts, Accounts, Opportunities).

8. Optionally, select up to two Related Modules.

9. Click Next.

Note: The Primary Module cannot be changed after Step 1. Choose it carefully.

Step 2 — Select Columns

10. Browse the Available Fields panel on the left.

11. Double-click a field (or select and click the arrow) to add it to Selected Columns.

12. Include the fields you want as row groupings and any numeric summary fields.

13. Click Next.

Step 3 — Conditions (Filters)

14. Add optional filter conditions to restrict report data (e.g., Status = Open).

15. Click Next.

4. Step 4 — Chart & Report Design (Pivot Table Configuration)

Step 4 is where the Pivot Table chart type is selected and all column groups are configured. 4.1 Selecting the Pivot Table Chart Type

16. In the Select Chart Type section, click the Pivot Table icon.

17. The chart options area below updates to show Pivot Table-specific settings:

• Group By Field — defines the row labels of the pivot table.

• Sub-Group fields (optional) — additional row dimensions.

• Column Group Configurations — the new multi-block panel.

4.2 Configuring the Group By Field

18. Use the Group By Field dropdown to select the row dimension (e.g., Assigned To, Lead Source, Status). 19. Select a Sort Order for the rows: By Default, Alphabetical Ascending, Alphabetical Descending, Count Ascending, or Count Descending.

5. Column Group Configurations (New Feature)

The Column Group Configurations panel allows you to define multiple independent groups of columns in the pivot table output. Each block renders as a separate column section with its own header in the final report.

5.1 What Is a Column Group Block?

Each block contains two settings:

• Column Group Field — the field whose distinct values become the column headers within this group (e.g., Month, Stage, Opportunity Type).

• Calculation Field — the numeric field to aggregate inside each cell (e.g., Count, Expected Revenue Sum, Total Amount).

For example, one block could show 'Count of Opportunities by Stage' and a second block could show 'Total Revenue by Stage' — both in the same pivot table.

Note: A maximum of 5 Column Group blocks can be added per pivot table report.

5.2 Adding a Column Group Block

20. Scroll to the Column Group Configurations section in Step 4.

21. Click the + Add Column Group button.

22. A new block appears with two dropdowns — Column Group Field and Calculation Field. 23. Select the desired field from each dropdown.

24. Repeat steps 2–4 to add more blocks (up to 5 total).

Note: Clicking + Add Column Group when 5 blocks already exist is silently ignored — the 5-block maximum is enforced automatically.

5.3 Configuring Each Block

25. For the Column Group Field, select the field whose values will form the column headers for this group (e.g., selecting 'Month' creates a column for each month that appears in the data).

26. For the Calculation Field, select the numeric metric to display in each cell (e.g., 'Count', 'Amount: Sum'). 27. Each block is independent — different blocks can use different grouping and calculation fields.

5.4 Removing a Column Group Block

28. Click the remove button (X or trash icon) on the right side of the block you want to delete.

29. The block is removed immediately.

30. You can add it back at any time with + Add Column Group.

5.5 Saving the Configuration

31. After configuring all blocks, scroll down and click Save.

32. The report saves with the full pivot configuration and returns to the report detail view.

6. Viewing the Pivot Table Output

6.1 Multi-Column Group Header Row

The rendered pivot table shows a group header row at the top spanning all columns that belong to each block. Each group section is labeled with its Column Group Field name. Within each section, individual columns show the distinct values of that field.

6.2 Pinned TOTAL Row

The last row of the pivot table is a TOTAL row displayed in bold with a light grey background (#f5f5f5). It shows aggregate totals across all rows for every column in every group. The TOTAL row is always pinned at the bottom of the data.

Note: The TOTAL row cannot be clicked for drill-down — only regular data rows support drill-down.

6.3 Interactive Drill-Down

Each data cell in the pivot table is clickable and opens a drill-down panel below the table.

33. Click any data cell in the pivot table.

34. A drill-down panel opens beneath the table, labeled with the row and column combination you clicked (e.g., 'New Leads — January 2024').

35. The panel shows the individual records that make up that cell's aggregate value.

36. To close the panel, click the Close button in the drill-down panel header.

Note: The drill-down table respects your record-level permissions — you will only see records you are authorized to view.

6.4 Refreshing the Report

37. To reload the report with the latest data, click Run Report or refresh the page.

38. All pivot data, group headers, and the TOTAL row are recalculated.

7. Editing an Existing Pivot Report

39. From the Reports list, click the name of the report.

40. In the report detail view, click Edit.

41. Step through the wizard using the Next button until you reach Step 4.

42. The existing Column Group blocks are pre-loaded — add, remove, or reconfigure as needed.

43. Click Save to apply the changes.

Note: Editing the Column Group configuration changes the report for all users who have access to it.

8. Adding a Pivot Table Report to the Dashboard

44. Navigate to the CRM Dashboard (Home page).

45. Click the gear/settings icon or Add Widget on a dashboard panel.

46. Choose Reports as the widget type.

47. Search for your pivot table report and select it.

48. The pivot table renders as a compact dashboard widget.

Note: Dashboard widgets show a condensed pivot view. For the full interactive experience (drill-down, TOTAL row), open the report directly from the Reports module.

9. Permissions and Access

• Any user with Reports module access can create, view, and run pivot table reports. • Editing requires the Edit Reports permission.

• Report sharing (set in Step 1) controls which roles and users can view the report.

• Drill-down results respect record-level permissions.
